Mô tả công việc/Job Description

We are seeking a professional Personal Assistant (PA) to provide comprehensive support to our CEO. The successful candidate will play a pivotal role in ensuring the CEO's effectiveness by managing their schedule, coordinating meetings, handling communications, and assisting with various administrative tasks.

Key Responsibilities:

Administrative Support: Efficiently manage the CEO's schedule, coordinate meetings, and take detailed meeting minutes. Handle communications on behalf of the CEO, ensuring professionalism and accuracy at all times.
Information Management: Organize and maintain important documents, files, and records. Prepare reports, presentations, and briefing materials for the CEO, ensuring timely and accurate delivery.
Communications: Serve as a central point of contact for all communications, both internal and external. Respond to messages, answer queries, and manage correspondence with employees, stakeholders, and clients.
Project Management: Coordinate and manage special projects or initiatives as assigned by the CEO. This includes conducting research, analysis, and liaising with various teams to ensure successful project outcomes.
Confidentiality: Maintain a high level of confidentiality and discretion when handling sensitive information and discussions.
Travel Arrangements: Efficiently coordinate travel plans for the CEO, including booking flights, hotels, and transportation, while ensuring cost-effectiveness and adherence to the CEO's preferences.
Decision Support: Assist in gathering data and information to support the CEO in decision-making processes. Conduct research, analysis, and prepare relevant materials to facilitate informed decisions.
Problem Solving: Demonstrate resourcefulness and proactivity in resolving issues or challenges that arise within the scope of the CEO. Exercise sound judgment and initiative to address problems effectively.
Other Administrative Tasks: Perform any other administrative tasks as required to support the CEO or Board of Management (if applicable), contributing to the overall efficiency and effectiveness of the executive office.

Qualifications:

Bachelor's degree in Business Administration, , or related field preferred.
Fluently in English, German communication is a plus.
Proven experience in a similar role, providing high-level support to senior executives.
Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
Strong communication skills, both written and verbal, with a keen attention to detail.
Proficiency in Microsoft Office Suite and other relevant software applications.
Ability to maintain confidentiality and exercise discretion when dealing with sensitive information.
Proactive problem-solving abilities and a demonstrated capacity to work independently.
Flexibility to adapt to changing priorities and work in a fast-paced environment.
