Mô tả công việc

The Administration Executive will support the Operations Manager and OBV team to prepare and implement efficient processes to ensure smooth business operation.

Duties and Responsibilities:

Draft correspondence on the Executive Director's behalf when required and manage his files and correspondences while exercising initiative, discretion, and confidentiality;
Provide administrative support for OBV activities including preparing logistical requirements for events, meetings and organizing bookings, coordinate logistics, booking of meeting venue, end-to-end organization of event;
Carry out all administrative tasks in the office in accordance with the company policies and procedures and with government's legal, fiscal and statutory requirements;
Preparation and organization of OBV team's business trips including coordination with external providers, finalizing travel schedules, cost and expense management, create budget proposal for business trips and seek for approval from management;
Book airline tickets, hotels, transportation and assist with preparation of documents for payment processing with Finance Department;
Assist with managing the office systems and necessary purchases;
Interpret and translate from Vietnamese to English and vice-versa where necessary;
Assist with preparation of Company's presentations;
Control Company's filing systems, manage tools, office equipment and advertisement materials when necessary;
Undertake any ad hoc tasks as assigned by Immediate Supervisor and/or Management;
Oversees the smooth management of the office / basecamp;
Manage all incoming calls, mails and meetings for the office / basecamp;
Attend meetings as required by Executive Director and prepare minutes of meetings for circulation to valid parties;
Conduct market research to determine customer base when required.
Carry out enrolment tasks at the basecamp;
Support HR duties as and when required
Other tasks as and when required
Working location: Cat Hai ward, Phu Cat district, Binh Dinh province
