HR DEPARTMENT
The HR team is responsible for the effective delivery of key strategic and operational services and projects that support RMIT Vietnam's strategic direction; facilitates a culture of change and innovation and builds staff capability and ongoing engagement. We achieve success through understanding our business and operating as a business partner to our clients. We deliver responsive, innovative and practical solutions and services. We operate in a manner that supports the RMIT values and achievement of the business objectives. By providing tailored, quality human resources services and products and ensuring a high level of expert support and advice, we support our stakeholders in achieving their business objectives. This, in turn, enables University staff to better support the current and future student population at the University. The team shares insights with peers and management and our positive team culture relies on open communication, encouragement, recognition and continuous improvement, to work together and get things done.
YOUR ROLE
As a HR Advisor - Contingent Workers, you will be responsible for overseeing and effectively managing the end to end process of engaging temporary staff (contingent workers); from the successful creation of a job requisition through to the appointment of the temporary staff. This role is critical in supporting and guiding line managers through the recruitment and onboarding process as well as developing strong relationships with third party providers (such as Talent Net, Man Power) to ensure quality candidates are appointed and due process is followed with regards to relevant legal and regulatory requirements. The position holder requires a subtle blend of both technical and process orientated background as well as excellent interpersonal and communication skills to support and lead a diverse range of stakeholders within the organization.

KEY ACCOUNTABILITIES
Recruitment
Provide high quality solutions focused recruitment advice, guidance and services to meet the needs of a diverse portfolio of key stakeholders across the University through proactive and timely recruitment support and advice.
Support line managers through end to end recruitment and onboarding process of engaging temporary workers into our organisations:
- Local advertising
- Shortlisting to ensure all data relating to contingent worker applicants are accurately recorded in our Workday platform.
- Interview scheduling and participation
- Reference and background checking
- Offer negotiation
- Onboarding
Stakeholder management
Strengthen and build effective relationships with internal departments throughout the University offering a business partnering approach to respective portfolios, colleagues and units to support appointment of contingent workers from a HR perspective.
Provide advice to managers on CW (contingent worker) policy and process and the application (and interpretation) of this to the business including advice on pay rates in consultation with the Compensation and Benefits team
Work closely with Procurement team during the tendering process to select suitable third-party providers to support in the effective management of contingent workers.
Effectively manage and engage with third party providers and Labour Hire firms to ensure candidates are of suitable quality and meet all compliance requirements, including rates of pay and background checks.
Compensation and benefits
Work closely with third-party providers to request quotations, sign service contracts, ensure effective onboarding; time tracking and payment processes for our contingent staff.
Review and confirm monthly salary calculations to third parties, for contingent staff. Work closely with Accounts team and third-party providers to reconcile purchase orders; payment amount of all contingent workers before making payment to the third parties
Data management and reports
Ensure effective record management in Workday - including capturing basic personal info, pay rates, and providing Work Day access to new contingent workers.
Manage contract changes and contract expiry of contingent workers
Maintain contingent workers' master files including personal information, signed copies of services contracts, salary information, etc.
Generate reports related to engagement of contingent workers
Process improvement and other support
Proactively identify opportunities of continuous improvement to enable increase efficiency and achieve best practice
Adapt and embrace the implementation of changing technologies and processes by providing system testing and end user training for successful implementation.
Lead and support the business with Visiting Professor appointments.
Support Talent Acquisition team with recruitment activities.

OUR REQUIREMENTS
Bachelor's Degree in Business Administration, Human Resource Management or relevant field.
At least 5 years of experience in an HR generalist role providing quality customer services to diverse range of stakeholders in an international organization.
Strong knowledge of labour laws and immigration requirements for a foreigner to work in Vietnam
Adequate understanding of the role of a modern HR department and HR best practices.
Excellent customer service skills with a professional and proactive approach.
Demonstrated effectiveness in understanding, applying and explaining complex policies, procedures and rules to staff.
High level of accuracy and confidentiality in all correspondence and administrative documents adhering to the University and departmental standards.
Strong organizational and planning skills, ability to set priorities and meet deadlines under time constraints.
Excellent interpersonal and communication skills (verbal and written in English and Vietnamese).
Solutions focused, with a dynamic and vibrant approach to engaging with stakeholders.
Demonstrated ability to show initiative, think outside the box and creatively solve problems.
Advanced computer skills with knowledge of Microsoft Word, Excel and PowerPoint and other relevant business software. Experience and working knowledge of Work Day is desirable.
