Position Overview:
Performs advanced executive level, highly confidential administrative and personal support for the Clinic Director.
Responsibilities:
- Manages Clinic Director's calendar requiring a high degree of balancing external/internal meetings and must be able to adjust and reschedule meetings on short notice to accommodate the requirements.
- Schedules and coordinate meeting space and logistics for a variety of meetings to include but not limited to: external visitors, internal meetings and candidate interviews. Ensure Clinic Director is well prepared for meeting.
- Drafts/prepares memorandums, correspondence, agenda materials and other documents, some of a highly confidential nature.
- Proof reads and checks documents/ contracts for accuracy, completeness and compliance with Company standards.
- Maintains and organizes files.
- Coordinate and arranges travel itineraries and arrangements for Clinic Director including, but not limited to, air and ground transportation, hotel reservations, and other travel needs. Travel includes frequent international trips.
- Manage and coordinate activities of receiving and conveying information of Clinic Director to the units inside and outside the Company to ensure smooth, prompt and timely, the right subjects, accurate and confidential.
- Proactively responds to a wide variety of requests with expeditious action and with a positive, consultative approach.
- The focal point for receiving information, signing and feedback documents of departments, individuals in the company.
- Screening phone calls, enquiries and requests, and handling them when appropriate;
- Dealing with incoming email, faxes and post, often corresponding on behalf of the manager;
- Translating and interpreting upon to request.
- Collating and filing expenses
- In addition to supporting managers, other departments

- Must good at English communication and listening skills.
- Able to handle stressful situations in a fast paced environment.
- Candidate should be an honest, hard work, good team player and willing to assist other staff when required.
- Must be able to work autonomously and solve problems as they arise
- Computer literate in Microsoft Office
