Position Purpose:
- Support all projects of the Service Department.
- Respond proactively to customer needs and ensure high levels of customer satisfaction through excellent service.
Job responsibilities:
Order Management:
- Process and follow up on all orders as required.
- Update customers on production status and delivery schedules.
- Prepare monthly and annual work reports.
- Understand the full process of
purchasing - selling - transferring - borrowing - returning spare parts.
Customer Service:
- Receive all inquiries from customers and cooperate with Service Department to take action.
- Report troubleshooting cases to Service Center of mother company in Japan.
- Handle requests from emails, Zalo groups, and MS Teams.
- Maintain professionalism when handling complaints or dealing with customers.
Document Creation & Control:
- Prepare quotations, contracts, purchase orders, and other documents assigned by the Service Department.
- Organize, maintain, and archive all project-related documents systematically.
- Draft professional emails in English and Vietnamese.
- Manage multi-source data and apply data management analysis in work.
Accounts Payable Management:
- Monitor accounts payable to ensure timely payments and discuss payment terms with supervisors.
Stock Inventory:
- Balance inventory levels and place monthly orders for parts.
- Participate in stock control and management, and prepare monthly inventory reports.
- Monitor critical spare parts and forecast needs.
- Support reviewing inventory discrepancies.
Others:
- Cooperate with Service department and related departments properly & timely with a focus on customer satisfaction.
- Visit customers with the Service Department and provide translation support when needed.
- Assist the Sales and Engineering Departments in preparing events and exhibitions.
- Support engineers scheduling with customers who have service contracts or yearly calibration.
- Perform other tasks as requested.
- From 23 to 30 years old.
- At least 1 year working in the same position.
- Bachelor's degree in Economics, Business Administration, Commerce, or related fields.
- Proficient in either English. Japanese is a plus.
- Good computer skills, including MS Word, Excel, and PowerPoint.
- Proficient in data management skills on Excel or other tools.
- Have experience working with detail-oriented office work.
- Good business manners and a strong work ethic.
- Excellent organizational skills with the ability to manage multiple projects simultaneously.
- Willingness to work overtime when required.
- Prefer candidates with basic knowledge of industrial food machinery, ability to read and understand a little about technical documents, strong deadline management, ability to work independently or in teams, and interest in applying AI technology in work processes.
