Mô tả công việc
We are seeking an Admin Staff with the following key responsibilities:
1. Reception: Welcome guests, answer phone & deliver-receive packages and supervise tea-ladies to ensure the office is clean and well-organized;
2. Facilities & Services:
· Purchase office equipment, machinery, stationery and necessary office stuffs (from budgeting management, collecting quotations, price comparison & negotiation, drafting contract and reviewing terms & condition with suppliers/ vendors/ contractors) and maintain asset database;
· Manage office equipment and facilities: find, contact and handle maintenance services in order to ensure all are in good working condition;
· Monthly payment: track and control office expenses (office renting, stationery, parking, taxi bill, etc), collect invoices, ensure the accuracy and make requests for payment as deadlines;
· Coordinate for domestic and international business trips, including flight booking, hotel reservations, visa applications (if needed)
· Maintain soft and hard copy of contracts, in-coming and out-going correspondences and other documents;
3. Timesheet Record:
· Record monthly timesheet (attendance, late coming, early leaving, outgoing; overtime; leave, etc);
4. Employee engagement activities:
· Organize Company events (from selecting vendors, planning, budgeting management and execution) such as: Company's Outing trip and Year End Party, etc
· Coordinate with Company Trade Union's Executive Committee to organize staff activities such as: Quarter competition; Quarter Birthday Celebration; Women's Day, Men's Day, Sport & Culture Event, etc
5. Expatriate Support:
· Obtain expatriate's papers such as: Visa, Work Permit, Residence card, and other supports upon requests: House renting contract, notarized and legalized procedures, etc
6. Other tasks
· Proceed updates on business legal documents with government authorities;
· Other tasks assigned by Manager/ Supervisor;

Yêu cầu
* Job Requirements:
- University degree or equivalent; major in Foreign Language, HR management, Administration management or Accounting shall be an advantage;
- At least 5-6 years of related experience in Administration and Office management;
- Proficient at Microsoft Word, Excel, Outlook, and PowerPoint;
- Strong communication and negotiation skills;
- Good time management skills with the ability to handle multi-tasks simultaneously;
- Fluent in both written and spoken English;
- Ability of working independent and teamwork;
- Ready to work overtime;
* Personality Requirements:
- Proactive, results-driven and customer-oriented;
- Teamwork spirit, and can-do attitude and able to work under high pressure;
- Reliable, careful, hard working, responsible;
- Creative and well-organized;

*Remuneration Package
- Salary: Competitive with lucrative add-ons (based on skills and experience);
- Make up allowance $50 for female staff every month;
- Working hours: 9:00 - 17:00 (5 days per week);
- Bonus : Twice a year (equivalent to 2 months salary) and performance bonus once a year (equivalent up to 3months salary)
- Well-equipped with insurance package as stated by Labor code;
- Salary Review: 2 times/year based on employee's performance and contribution;
- Other benefits as per stated in Vietnamese Labor Law;
