An Inspection Administrator provides key support to the inspection process, ensuring its smooth running and efficiency. Their duties can vary depending on the industry, but typically involve a blend of administrative tasks and inspection coordination, but not limiting to further tasks assigned by Manager:
Inspection Scheduling and Coordination:
Schedule inspections based on inspector availability, workload, and urgency.
Communicate with clients to confirm appointments, gather necessary pre-inspection information, and address any questions.
Maintain inspection calendars and ensure adherence to deadlines
Coordinate communication between inspectors, clients, and other stakeholders regarding inspections.
Answer client inquiries about the inspection process and results (within the limitations of their role).
Follow up with inspectors and clients after inspections to ensure all questions are addressed
Manage inspector schedules and travel arrangements (if applicable).
Maintain databases of inspectors, clients, and inspection history.
Prepare reports and summaries of inspection data.
Documentation Management:
Prepare inspection paperwork, including checklists, reports, and data collection forms.
Manage electronic filing systems for inspection records and reports.
Ensure completed inspection documents are accurate, complete, and filed according to company procedures.
