Position Summary
Responsible for hotel's Executive Office and for assisting General Manager with scheduling meetings, analyzing data, writing reports and memos, filing, and answering phone calls. Also responsible for handling customer satisfaction inquiries, related correspondence and communication.
Position Responsibilities/ Essential Functions
Manage and maintain executive schedules, including scheduling travel and conferences and booking meetings/appointments.
Answering and directing calls to appropriate executives and parties.
Greeting visitors and determining access to appropriate parties.
Reading and analyzing submissions, letters, agendas, memos, emails and determining significance; routing to appropriate personnel in a timely and efficient manner.
Prepare reports, collect and analyze information; prepare presentations.
Maintain inventory and office supplies. Anticipate office needs; evaluate new office products; place and often expedite orders when necessary.
Issue cell phones as requested by management, facilitate repairs and returns of phones as per Hyatt policy.
Manage productivity analytics in relation to scheduling and productivity ratios.
Complete other duties as assigned by the General Manager

Administrative Assistant Requirements and Qualifications
· A Diploma in Business Management or related field
· Minimum 4 years of secretarial experience
· Effective telephone communication skills, and computer literate
· Fluent English language skills
· Proficient Microsoft Office skills
Strong analytical, organizational and interpersonal skills
excellent time management
Ability to interpret statistical reports (profit and loss, income statements, customer satisfaction data and other hotel-related reports)
Excellent written and verbal communication skills - including the ability to write complex documents
Must have integrity
Must be self-motivated
· A Diploma in Business Management or related field
· Minimum 4 years of secretarial experience
· Effective telephone communication skills, and computer literate
· Fluent English language skills
· Proficient Microsoft Office skills
