About the Role
We are seeking an experienced and proactive Assistant
Purchasing Manager to lead the operational execution of our factory's material purchasing activities for footwear samples and mass production. Reporting directly to the Head of Purchasing, you will play a critical role in ensuring the right materials are sourced from the right suppliers at the right cost and lead time.
This position requires strong supplier management, purchasing coordination, and cross-functional collaboration to ensure uninterrupted material availability while maintaining quality, efficiency, and budget targets.
Key Responsibilities
Purchasing Execution & Material Planning
• Ensure all materials are accurately created and maintained in the ERP system before purchase orders are issued.
• Place purchase orders for sample and bulk materials within 24 hours of receiving complete information from relevant departments.
• Calculate material requirements based on product specifications and consumption data provided by the Costing team.
• Confirm final order quantities and purchasing requirements as needed.
• Maintain accurate material master data, pricing, purchasing records, and inventory information in Odoo or equivalent ERP systems.
Supplier Management & Delivery Control
• Maintain and update daily material tracking reports, ensuring visibility for all stakeholders.
• Follow up with suppliers to obtain and confirm ETDs within three days of order placement.
• Proactively manage delivery risks and expedite shipments when necessary, including supplier visits to secure on-time delivery.
• Prepare and follow up payment requests to ensure timely and accurate supplier payments.
• Monitor supplier performance and prepare regular reports on delivery reliability and service quality.
Receiving, Quality & Logistics Coordination
• Monitor incoming materials and coordinate approval status with
Brand Managers, Product
Developers, and Warehouse teams.
• Manage material quality issues in collaboration with suppliers and internal stakeholders, ensuring prompt corrective actions and resolution.
• Verify incoming shipments and communicate discrepancies immediately to relevant teams.
• Coordinate inbound logistics, customs documentation, airway bills (AWB), and shipping arrangements to ensure smooth material flow.
• Support continuous process improvements to strengthen inventory control and optimize material movement throughout the factory and warehouse.
