Key Responsibilities:
1. Company Operations:
Assist in developing KPIs and performance evaluations for key departments, including HR, Accounting, Sales, and Import-Export.
Analyze and synthesize reports from all departments for Board of Directors (BOD) presentations.
Support the BOD in managing special projects and new investments.
Review and analyze company expenses and costs to ensure accuracy and efficiency.
2. Sales &
Business Development:
Support the CEO in managing overall sales strategies, revenue goals, and performance tracking.
Analyze key potential customers, assessing their financial stability and growth opportunities.
Provide insights and recommendations to support business expansion and risk management.
3. Finance & Cash Flow Management:
Work closely with the banking team to review cash flow and financial reports on a weekly and monthly basis.
Assess and negotiate with banks to secure competitive costs, interest rates, and exchange rates.
4. Human Resources:
Participate in the recruitment process for key positions, including CV screening, shortlisting, and interviewing candidates before presenting them to the CEO.
Negotiate job offers, salary packages, and employment terms with selected candidates.
Oversee payroll and insurance management in collaboration with the HR team.
5. Supply Chain & Logistics:
Support the CEO in overseeing overall supply chain operations, ensuring alignment with business goals.
Coordinate with the Logistics team to monitor shipments, inventory, and import-export activities.
Analyze supply chain performance and costs, providing insights and recommendations for improvement.
Identify risks (delays, stock shortages, cost fluctuations) and propose mitigation solutions.
6. Personal Assistance & Administrative Support:
Manage the CEO's schedule, appointments, and meetings.
Prepare and attend meetings, taking detailed minutes and ensuring follow-up on action items.
Arrange complex travel plans, itineraries, and accommodations.
Assist with visa processing, hotel selection, and business partner hospitality when hosting international guests.
Organize gifts, notes, and special arrangements for important business partners and stakeholders.
Draft contracts, official letters, and key documents as assigned.
Oversee the company's website and social media presence, ensuring a strong corporate image and effective PR strategies.
Female: Age from 30 - 40.
Bachelor's degree in Business Administration, Finance, Foreign Trade, International Business, or a related field.
2+ years of experience as an Executive Assistant, Operations Manager, or similar role.
Strong experience in Finance and Supply Chain
Strong problem-solving, analytical, and organizational skills.
Excellent written and verbal communication in both English and Vietnamese.
Ability to manage confidential information with professionalism and discretion.
High attention to detail, ability to work under pressure and high sense of responsibility.
Proficient in Microsoft office (Outlook, Word, Excel and Power Point).
Excellent in communication (both writing and verbal), problem solving and negotiation.
