1. RESPONSIBILITIES:
Activity planning:
• Product & POSM monthly forecast based on activity plan
• Collaborate with related departments (Logistics, Finance...) to ensure timely shipping to events as company policy
• Contract/ agreement process by coordinating with internal (General affair, Finance, related departments) & external stakeholders
• Execute administrative procedures in accordance with company processes to facilitate the planning and implementation of activities.
POSM management:
• Coordinate delivery schedules for samples and POSM for related activities.
• Oversee and manage POSM and related material stocks at both the office and warehouse.
• Monitor and manage inventory levels of samples and POSM, updating quantities at the end of each month.
• Allocate POSM to other departments as needed.
• Collaborate with the
Purchasing department/ Supplier to process and track purchase orders from requisition and approval to supplier ordering and delivery, ensuring accuracy and timeliness.
Report:
• Consolidate staff performance reports, manage activity schedules, and calculate monthly KPI results and incentives for employees.
• Tracking and monitoring budget of sampling investment, inventory, POSM, PG/PB salary, other costs
• Verify staff timesheets and sampling hours in both system and field records, and summarize monthly payroll accordingly.
• Report & tracking stocks in-out and return to warehouse
• Monthly budget tracking & accrue, phasing for team and overall Brand Development budget
Operation:
• Handle payment processes and related documentation for CRD activities, including expense tracking, invoicing, and coordination with Finance to ensure accurate records and timely payments to vendors/CRE.
• Business trip: proposal, arrange, claim report (transportation, accommodation booking)
• Assist in responding to customer inquiries via email, Facebook, and other digital platforms.
• Oversee project administrative processes from proposal approval to completion, including documentation, system updates, acceptance procedures, and final payment settlement in both system and physical records.
• Create presentations and reports as needed.
• Schedule and book meetings and appointments.
• Undertake any other tasks assigned by the Head of Brand Development.
III. REQUIREMENTS:
• Minimum of 3 years of experience as a Marketing Administrator or equivalent role.
• Proficiency in Microsoft Office, especially Excel.
• Experience working with a SAP system.
• Strong organizational and time management skills.
• Good communication and basic presentation skills.
• Meticulousness in proofreading marketing materials, ensuring accuracy and consistency.
• Ability to manage multiple tasks simultaneously without compromising quality.
• Ability to thrive in a dynamic and fast-paced environment.
