This role is primarily remote, in-person meetings with the Director happen on an as-needed basis, typically around 1-2 times a week, with occasional in-person tasks also required (e.g. visiting manufacturers in metro areas, Ho Chi Minh City, Vietnam).
The Executive Assistant & Brand Partnerships Coordinator works directly with the Director of Passio Interiors, an Australian-owned brand specialising in premium architectural solid brass hardware. You'll also stay closely connected with our Co-Director and team in Australia. Rather than a purely administrative role, this position puts you in the middle of brand partnerships, contract coordination, and the day-to-day running of the business.
Key Responsibilities
As Executive Assistant & Brand Partnerships Coordinator, you'll manage a wide range of coordination and communication tasks on the Director's behalf, acting as the main liaison between the Director, our Co-Director and team in Australia, and external partners, keeping projects on track and communication running smoothly.
Reaching out to and negotiating with talent/influencers for brand collaborations
Drafting the collaboration contracts and agreements once terms are agreed
Scheduling and confirming photoshoot dates, following up with photographers, videographers, and clients to keep everything on track ahead of the shoot
Managing the company's LinkedIn page and posting updates
Sourcing manufacturers and coordinating partner gifts/merchandise orders
Requirements
Bachelor's degree in Business, Marketing, or a related field
Prior experience as an admin assistant or PA to a Director/CEO or relevant role, but not necessary. Training will be provided.
Skills
Strong written and spoken English for international correspondence
Comfortable drafting contracts and agreements
Basic LinkedIn familiarity; training provided
Able to independently arrange appointments and photoshoots
Strong liaison skills across multiple parties
Organised, proactive, and comfortable juggling multiple tasks at once
