Role
An Event Intern supports the planning, coordination, preparation, and on-site execution of event and activation projects under the guidance of Account.
This role is suitable for someone who is organized, proactive, detail-oriented, and interested in learning how integrated marketing and event projects are developed from client brief to execution and reporting.
Concept
At SnP, an Event Intern is expected to be directly involved in real project work, not only observing or doing simple administrative tasks. The intern will assist in event preparation, supplier follow-up, production tracking, document management, venue and logistics coordination, and on-site support.
The ideal candidate should be willing to learn fast, communicate clearly, follow instructions carefully, and support the team in keeping event work organized, timely, and consistent with approved plans.
Key Responsibilities
• Support the team in receiving event-related briefs, understanding project requirements, and translating them into clear task lists, timelines, and preparation checklists.
• Assist in preparing event proposals, rundown, production checklist, venue checklist, contact list, meeting notes, quotation comparison, recap documents, and other project materials.
• Support logistics coordination including venue information, guest list, invitation follow-up, RSVP tracking, transportation, accommodation, meals, equipment, branding materials, and on-site preparation.
• Work with suppliers, vendors, freelancers, production partners, and venue representatives when assigned to collect information, follow up tasks, and update project status.
• Assist in tracking production items such as backdrop, booth, POSM, signage, gifts, uniforms, name tags, printed materials, technical equipment, and other event assets.
• Support on-site event execution, including set-up, registration, guest support, backstage coordination, supplier follow-up, photo/video coordination, and basic troubleshooting during the event.
• Maintain project folders, working files, cost documents, receipts, handover notes, and post-event evidence in a clear and organized manner.
• Monitor assigned tasks closely, update progress to the team in a timely manner, and raise potential issues early when timeline, quality, quantity, or cost may be affected.
• Support post-event work including collecting event photos, supplier documents, actual cost information, event report inputs, participant feedback, and project closing materials.
• Learn and follow SnP's working standards, communication discipline, timeline management, documentation habits, and professional attitude when working with clients, partners, and internal teams.
Professional Requirements
• Final-year student or fresh graduate in Marketing, Communications, Event Management, Business Administration, Public Relations, Hospitality, or related fields.
• Strong interest in event management, activation, integrated marketing communications, brand experience, or project coordination.
• Basic understanding of event flow, production items, suppliers, logistics, and on-site coordination is an advantage.
• Good organization skills, attention to detail, and ability to follow up multiple tasks at the same time.
• Proactive, responsible, willing to learn, and comfortable working in a fast-moving project environment.
• Good communication and coordination skills; able to work with team members, suppliers, vendors, and event staff professionally.
• Able to support on-site work, including early mornings, evenings, weekends, or travel when required by project schedule.
• Basic Microsoft Office or Google Workspace skills, especially Word, Excel/Sheets, and PowerPoint/Slides.
• Good command of English is an advantage.
