Senior Logistics & Import Specialist
Department: Operations / Supply Chain
Location: Hanoi
Reports to: Operations Manager / Finance Director
Position Summary
We are seeking an experienced and highly independent Senior Logistics & Import Specialist to oversee the Company's end-to-end international logistics operations.
This role is responsible for coordinating overseas shipments, customs clearance, warehouse receiving, inventory management, project deliveries, logistics cost control, and supplier coordination. The successful candidate will ensure products are delivered on time, logistics costs are optimized, and import operations comply with company standards and Vietnamese regulations.
Key Responsibilities
1. International Logistics & Import Management
Manage the complete import process from supplier shipment to warehouse or project delivery.
Coordinate shipment schedules with overseas suppliers, freight forwarders, customs brokers, and transportation providers.
Prepare and review shipping and import documentation, including Commercial Invoices, Packing Lists, Bills of Lading, Certificates of Origin, and other customs-related documents.
Prepare product descriptions and HS code information for customs declaration.
Coordinate customs clearance and resolve customs-related issues to minimize shipment delays.
Ensure compliance with Vietnamese import regulations and company procedures.
2. Warehouse & Project Delivery Coordination
Coordinate inbound receiving and warehouse operations.
Verify incoming goods against packing lists and shipping documentation.
Monitor inventory accuracy and stock movements by project.
Coordinate material allocation and delivery schedules with Project teams.
Ensure all deliveries support project timelines and installation schedules.
3. Logistics Cost & Inventory Control
Prepare logistics cost breakdowns for each shipment, including freight, customs duties, VAT, transportation, insurance, storage, and other logistics expenses.
Allocate logistics and warehouse costs accurately to individual projects.
Monitor warehouse storage costs and inventory levels.
Identify slow-moving inventory and recommend actions to reduce storage costs.
Support Finance with project logistics costing and cost analysis.
4. Supplier & Logistics Partner Management
Build and maintain effective relationships with suppliers, freight forwarders, customs brokers, warehouses, and transportation providers.
Monitor supplier and forwarder performance in terms of cost, delivery, responsiveness, and documentation quality.
Negotiate freight quotations and logistics services whenever appropriate to optimize costs.
5. Logistics Planning, Data Management & Reporting
Maintain accurate logistics records for all shipments, purchase orders, containers, customs status, and delivery schedules.
Track shipment progress from factory to final delivery.
Ensure logistics information is accurately maintained in Excel and ERP systems.
Prepare regular reports, including: Shipment Status Report; Import Schedule; Warehouse Inventory Report; Logistics Cost Report; Storage Cost Report; Delivery Performance Dashboard
6. Process Improvement
Continuously improve logistics processes, documentation, and shipment tracking.
Develop and update logistics SOPs.
Identify opportunities to reduce logistics costs and improve operational efficiency.
Propose and implement process improvement initiatives on a regular basis.
Requirements
1. Education & Experience
Bachelor's degree in Logistics, Supply Chain Management, International Business, Import-Export, Business Administration, or a related field.
Minimum 5 years of experience in international logistics, import & export, customs clearance, freight forwarding, or supply chain operations.
Experience working with international suppliers (European suppliers preferred).
Experience in project-based logistics, warehouse operations, or construction/interior materials is an advantage.
2. Professional Knowledge
Strong understanding of international logistics and import-export operations.
Good knowledge of Vietnamese customs regulations, Incoterms, and shipping documentation.
Familiarity with warehouse operations, inventory control, and logistics cost management.
Experience using Microsoft Excel and ERP/WMS systems.
