About The Role: Operations Assistant
PT Lab is a small team of engineers building hardware and robotics from scratch. Everything that is not engineering runs through this role: procurement, contracts, VNG's internal administrative procedures, budgets, logistics, and events.
About 70% of the work is administration and operations. The remaining 30% is business-facing: supporting partnerships and outreach, researching the market and our competitors, and helping with external communications.
That split is deliberate, and so is the expectation attached to it. We want you to shrink the 70%. Every recurring task you turn into a template, a spreadsheet, or an AI-assisted workflow is time you get back for the business side of the lab. This is the clearest growth path in the role: the assistant who automates their own admin becomes the person running business operations and strategy.
What you will do:
Administration & Operations (70%)
Own procurement end to end - vendor sourcing and quotations, purchase requests, delivery tracking, and cost records for a lab that buys everything from software licenses to custom machined parts.
Navigate VNG's internal administrative procedures on the lab's behalf: approvals, forms, finance and HR processes, and coordination with other departments.
Handle legal and contractual paperwork together with VNG Legal: NDAs, vendor contracts, partnership agreements, and internship documentation.
Manage lab logistics - office and lab supplies, equipment records, shipping and customs for imported components, and travel arrangements.
Support hiring and onboarding: interview scheduling, candidate communication, and getting new joiners set up on day one.
Keep the lab's documents, trackers, and records organized and current, so that anyone can find anything without asking.
Business Support (30%)
Support
business development and partnerships: prospect research, contact lists, follow-ups, meeting preparation, and keeping the pipeline up to date.
Run market and competitor research across robotics, embodied AI, and physiotherapy and rehabilitation systems, and turn it into short, usable briefs.
Assist with external communications: lab content and LinkedIn, partner and visitor coordination, demo days, and events.
Prepare decks, one-pagers, and supporting material for partner meetings and internal reporting.
Automation (across both)
Identify the tasks you repeat every week and remove them, using templates, spreadsheets, automation tools, or AI assistants. We will give you the tools, the budget, and the time to learn them.
Document each process as you build it, so the lab never depends on one person's memory.
Requirements:
Basic Qualifications:
Bachelor's degree in Business Administration, International Business, Economics, Communications, English, or a related field. Fresh graduates are welcome and encouraged to apply.
Strong written and spoken Vietnamese and English. You will work through VNG's internal systems in Vietnamese and deal with international vendors and partners in English.
Genuine attention to detail and solid organizational skills. Purchase orders, contract dates, and customs paperwork are unforgiving.
Comfortable with Google Workspace or Microsoft Office, particularly spreadsheets.
Willingness to learn automation and AI tools. No programming background is required; curiosity and persistence are what matter.
Able to work independently in a small, fast-moving team where nobody will hand you a checklist.
Preferred Skills and Experience:
Internship or part-time experience in office administration, procurement, HR, or operations.
Exposure to vendor management or
purchasing, especially for technical or imported goods.
Familiarity with AI tools (Claude, ChatGPT) or no-code automation tools (Zapier, n8n, Make), or a habit of automating spreadsheets.
Interest in technology, robotics, or healthcare. You will be surrounded by all three.
Experience organizing events or producing content in a professional setting.
