I. Position Overview
We are seeking a highly detail-oriented and systematic Accounts Payable (AP) Accountant to join our fast-paced Finance team. This role is critical in ensuring the accuracy, compliance, and timeliness of all outgoing payments. You will manage complex payable cycles, from processing daily commercial invoices to optimizing payment workflows for cross-border logistics and coal procurement.
II. Key Responsibilities
1. Invoice Processing & Payment Management
- Receive, verify, and process daily vendor invoices and Payment Request Forms (PRFs), ensuring all coding and amounts are accurate.
- Execute rigorous 3-way matching (Purchase Order, Goods Receipt/Bill of Lading, and Invoice) for massive volumes of coal purchases, freight, and toll fees.
- Coordinate with internal departments and external suppliers (including cross-border partners) to resolve billing discrepancies and missing documentation.
2. Document Control & Compliance
- Ensure strict adherence to document control Standard Operating Procedures (SOPs).
- Maintain the integrity of the audit trail by ensuring all physical and digital payment records are appropriately tracked and stamped (e.g., 'Received', 'Reviewed & Approved', 'Paid').
- Ensure all payable transactions comply with local tax regulations (VAS) and support data requirements for international reporting standards (IFRS).
3. Month-End Closing & Reporting
- Reconcile Accounts Payable transactions, vendor statements, and related general ledger accounts on a monthly basis.
- Assist the
Accounting Manager with the AP financial cutoff processes.
- Prepare ageing reports, and ad-hoc payable performance analyses for management.
- Review and record all bank transactions, including disbursements-into the accounting system on a timely and accurate basis, ensuring proper account coding and supporting documentation.
- Perform monthly reconciliation of the bank general ledger (GL) account against the official bank statement, investigate and resolve any discrepancies, and escalate unresolved items to the Accounting Manager.
4. Process Optimization & Automation
- Actively participate in the digitization of the accounting department.
- Support the integration and maintenance of AI-driven automation workflows (such as OCR data extraction for scanned PDFs) to streamline invoice entry and approval routing.
- Continuously identify bottlenecks in the AP process and propose system or workflow improvements.
Education: Bachelor's degree in accounting, Finance, or a related field.
Experience:
- Minimum of 3-5 years of experience in Accounts Payable or General Accounting.
- Experience in trading, mining, logistics, or high-volume commodity sectors is highly preferred.
Technical Skills:
- Good MS Excel - Accounting Systems.
- Solid understanding of VAS; knowledge of IFRS is a plus.
Soft Skills:
- Meticulous attention to detail and high numerical accuracy.
- Ability to work under pressure and manage strict financial cut-off deadlines.
- Good command of written and spoken English for communicating with international vendors and stakeholders.
