Purchasing Officer
Job Description
Receive purchasing requests from departments, prepare purchasing plans, and monitor procurement progress to ensure compliance with budgets and procedures.
Source, evaluate, and select suppliers; collect and compare quotations; negotiate pricing, quality, delivery schedules, and payment terms.
Prepare and track purchase orders from issuance to delivery, resolving issues related to quantity, quality, and delivery timelines.
Maintain supplier contracts, supplier records, and relevant purchasing documentation.
Monitor inventory and coordinate with kitchen, operations, and warehouse teams to ensure product availability while minimizing excess stock, shortages, and waste.
Identify cost-saving opportunities while maintaining product quality and service standards.
Verify and reconcile purchase orders, supplier invoices, delivery documents, and related records; coordinate with the Finance & Accounting team on monthly account reconciliation and payment documentation.
Prepare periodic purchasing reports covering order quantities, values, suppliers, and outstanding orders, ensuring accurate documentation and compliance with internal policies.
2. Requirements
Proficient in Microsoft Excel, with strong reporting and numerical accuracy skills.
Logical thinking, attention to detail, and the ability to identify discrepancies in purchase orders, invoices, and delivery documents.
Basic experience in purchasing, supplier sourcing, quotation comparison, and purchase order management.
Experience in the restaurant, hotel, or F&B industry is preferred, particularly in purchasing food ingredients and coordinating with suppliers.
