B1 Smart Solutions supplies technology products and solutions for business customers. We work with suppliers in China and Vietnam to source IT hardware, networking equipment, electronics, telecommunications products, security systems, and other enterprise technology.
We are looking for a Chinese-speaking Sourcing and Procurement Specialist who can find reliable suppliers, compare products and quotations, and make sure the items we purchase meet our customers' requirements.
About the role
You will manage the sourcing process from the first supplier search through quotation comparison, order confirmation, and delivery follow-up.
A large part of the role involves communicating directly with Chinese suppliers through Alibaba, 1688, WeChat, email, and other channels. You will check model numbers, specifications, condition, availability, pricing, and commercial terms before recommending a supplier.
You do not need to be an engineer or already know every technology product. You should, however, be comfortable learning technical information, asking detailed questions, and checking that a supplier's offer matches the original request.
What you will doSupplier sourcing and communication
Find and evaluate suppliers in China and Vietnam.
Communicate with suppliers in Chinese and Vietnamese.
Request quotations, product details, availability, and verification evidence.
Build and maintain a reliable supplier database.
Develop good working relationships with selected suppliers.
Monitor supplier responsiveness, pricing, product quality, and delivery performance.
Product and quotation review
Compare product models, brands, specifications, versions, compatibility, and condition.
Read product listings, datasheets, labels, and other technical documents.
Check whether quoted products meet the customer's requirements.
Identify specification differences between apparently similar products.
Detect products that may be used, refurbished, repaired, open-box, counterfeit, or unsuitable.
Compare unit prices, minimum order quantities, warranties, lead times, payment terms, and shipping options.
Prepare clear quotation comparisons and supplier recommendations.
Negotiation and
purchasingNegotiate pricing, lead times, payment terms, warranties, and other commercial conditions.
Prepare and follow up on purchase orders and procurement documents.
Confirm quantities, prices, specifications, and delivery terms before an order is placed.
Coordinate samples, inspections, packaging checks, and product verification when required.
Track orders from supplier confirmation through shipment and delivery.
Work with suppliers to resolve delays, quantity differences, quality issues, or incorrect products.
Procurement records and risk control
Maintain accurate records of suppliers, quotations, communications, and purchase orders.
Request supporting materials such as product photos, videos, serial numbers, packaging details, and certificates.
Identify risks involving product quality, specifications, supplier credibility, payment, warranty, or delivery.
Report important risks and recommend practical next steps.
Support improvements to the company's sourcing and procurement processes.
Who we are looking forRequired qualifications
Strong spoken and written Mandarin Chinese for supplier communication.
Fluent Vietnamese.
Working English for emails, quotations, product documents, and internal reports.
Ability to research products and compare detailed information carefully.
Good communication and negotiation skills.
Strong attention to model numbers, specifications, quantities, prices, and commercial terms.
Good organization and follow-up.
Ability to manage several suppliers and product requests at the same time.
Working knowledge of Microsoft Office or Google Workspace.
Interest in technology products and willingness to learn.
Experience that would be useful
Experience in procurement, sourcing, purchasing, supply chain, import-export, supplier sales,
technical sales, or a related position.
Experience communicating with suppliers in China.
Experience using Alibaba, 1688, Made-in-China, Global Sources, or WeChat.
Knowledge of computers, servers, networking equipment, electronics, telecommunications, or security systems.
Ability to read and compare product datasheets and model numbers.
Familiarity with Incoterms such as EXW, FOB, and CIF.
Understanding of freight forwarding, international shipping, customs, or import procedures.
Experience using Airtable, CRM, ERP, or procurement management systems.
Existing supplier contacts in China or Vietnam.
