1.1 Warehouse Operations Management
• Plan, organize, and coordinate warehouse operations, including warehouse layout, manpower allocation, work schedules, Standard Operating Procedures (SOPs), operating systems/software, and shift arrangements.
• Monitor inbound and outbound shipment plans (daily/weekly/monthly) to effectively allocate manpower, equipment, and vehicles, maximizing productivity.
• Assign shifts, delegate tasks, and supervise the daily performance of warehouse personnel, including
documentation staff, warehouse operators, security guards, and janitorial staff.
• Ensure inventory accuracy by maintaining correct quantities, product types, and proper storage locations to facilitate stock counting and preservation.
• Develop, standardize, implement, and continuously update Standard Operating Procedures (SOPs) and operational workflows.
• Manage and maintain warehouse infrastructure, including racking systems, floors, material handling equipment, and machinery, ensuring they remain in good working condition. Report damages promptly and coordinate with the Safety and Data teams for timely corrective actions.
• Demonstrate strong proficiency in Warehouse Management Systems (WMS), particularly Infor WMS.
• Prepare and submit timely and accurate operational reports to the Board of Directors.
• Oversee Warehouse Health, Safety, Environment (HSE), Fire Prevention & Fighting (PCCC), and Security by enforcing compliance with regulations and organizing regular safety training for employees and relevant stakeholders.
1.2 Customer Service & Quality Management
• Proactively collaborate with relevant departments (Commercial Division, Customer Service, Ho Chi Minh City and Hai Phong Branches, etc.) to ensure smooth warehouse operations.
• Receive, investigate, and resolve customer complaints and operational issues promptly.
• Foster a customer-centric culture throughout the warehouse team.
1.3 Cost Optimization & Project Support
• Develop and monitor warehouse operating budgets, including overtime (OT) cost control.
• Work closely with the Commercial/Sales Department to design operational plans and prepare Profit & Loss (P&L) analyses for new warehouse projects.
1.4 Team Management & Development
• Train new employees on warehouse operations and SOPs while promoting a professional working environment.
• Recommend recruitment, internal transfers, KPI evaluations, rewards, and disciplinary actions.
• Minimum 5 years of hands-on experience in logistics warehouse operations (Bonded Warehouse, CFS, Distribution Center, or equivalent).
• Proficient in Microsoft Office applications.
• Practical experience using Infor WMS or similar Warehouse Management Systems.
• Strong understanding of inbound, outbound, inventory control, stocktaking processes, and HSE/Fire Safety regulations.
• Good command of English, with confidence in both verbal communication and report writing.
• Strong planning, budgeting, and cost control capabilities.
• Excellent communication, teamwork, and problem-solving skills.
• High integrity, proactive mindset, ability to work under pressure, and strong sense of responsibility.
Additional Requirements
• Willing to work overtime, including evenings, weekends, and public holidays, when required.
