The Opportunity
We are looking for a highly organised and reliable Junior Collections & Sales Admin to join our growing team.
You will report directly to our Internal Accountant and play an important role in keeping our customer accounts, collections, contracts, sales documentation and dispatch paperwork organised and up to date.
This is a hands-on role for someone who is comfortable following up with customers, chasing outstanding payments, checking documents carefully and making sure things get done properly and on time.
You will work closely with the Accountant, Sales team and Director, gaining practical experience of the financial and administrative side of a growing international F&B business.
What You'll Do
Collections & Accounts:
Monitor customer accounts and outstanding balances.
Follow up with customers regarding overdue and upcoming payments.
Maintain accurate records of payments, outstanding invoices, and collections activity.
Communicate with customers by phone, email and messaging platforms regarding invoices and payments.
Coordinate with the Internal Accountant to ensure payments are correctly recorded and followed up.
Escalate overdue or problematic accounts when necessary.
Support the Accountant with general accounts receivable administration.
Sales Administration & Contracts
Create, edit, check, translate, organise and file sales contracts and related documents.
Follow up on contracts with customers and the Sales team to ensure documents are completed and signed.
Post and send contracts and other required documents when necessary.
Maintain an organised filing system for customer and sales documentation, both digitally and physically.
Ensure sales documents are complete, accurate and easy to locate.
Assist with preparing quotations, invoices and other sales-related documentation when required.
Dispatch & Documentation
Create and prepare dispatch documents and paperwork for customer orders.
Ensure dispatch documentation is complete and accurate before goods leave the brewery.
Coordinate with the Sales, Operations, and delivery teams to ensure the correct documents accompany orders.
Maintain organised records of dispatch documentation.
Administration & Compliance
Maintain and organise company and customer documentation.
Assist with occasional compliance-related documentation and submissions.
Gather information and documents required by accountants, consultants, customers or Government departments.
Follow established processes carefully and flag anything that appears incorrect or incomplete.
Support the Accountant and Director with daily administrative tasks as required.
Translate between Vietnamese and English when needed.
Run administrative errands and complete tasks outside the office from time to time.
Other duties as assigned.

Comfortable using computers and learning new systems. Experience with Excel/Google Sheets or an ERP system such as Odoo is an advantage.
You must be able to drive your own motorbike and travel independently to Cat Lai Industrial Zone.
Ideally have use of your own laptop.
At least 1-year experience.
Available to work two Saturdays per month.
