Mô tả công việc
Basic daily jobs:
• Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
• Resolve administrative problems: Coordinate repairs to office equipment, coordinate office procedures
• Answer and direct phone calls: Reply to email, telephone or face to face enquiries, provide general support to visitors
• Produce and distribute correspondence memos and letters
• Order office supplies: Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
Monthly reports:
• Assist in the preparation of regularly scheduled reports: Check-in time sheet report, annual leave report, sample sending record, Maintain up-to-date employee holiday records
• Develop and maintain a filing system
Sales assistant:
• Assist manager contact and visit local customers. (might need business trip for few days around in Vietnam)
• Maintain contact lists and customer lists: For sales department and send sample
• Establish customer information file and customer contact systems
• Arrange packing, shipping and record input/output of goods and samples
• Translate contracts, technical documents and other documents into Vietnamese or Traditional Chinese.
Manage inventory:
• Record goods and sample input list
• Regularly check inventory in warehouse and office
Apply documents from government:
• Work permit
• Entry permit
• Temporary resident card
• Temporary resident document
Other tasks from supervisors:
• Book travel arrangements: Organize travel arrangements for senior managers. Book conference calls, rooms, taxis, couriers, hotels etc.
• Handle sensitive information in a confidential manner
• Organize and schedule meetings and appointments: Manage staff appointments, Book conference calls, rooms, taxis, couriers, hotels etc

Yêu cầu
• Have 0 -2 years of experience in administration, and secretarial work is preferred
• Chinese or English proficiency is above average.
• Proficient in all aspects of Microsoft Office applications (Excel, Word, PowerPoint, Outlook)
• Excellent time management skills
• Effective organization skills and ability to manage multiple tasks, strong attention to detail
