I. DESCRIPTION:
Main responsibilities:
Administration tasks including phone support, handling inquiries and requests efficiently, distributing mail and packages internally and externally following established procedures.
To prepare and submit expense reports accurately and timely.
To make schedule, plan, and coordinate meetings and special events for the department.
To maintain and organize departmental records and documents according to company policies.
To assist with other administrative tasks.
Process and Review Documents:
To review and ensure the completeness and validity of documents, including supplier contracts and project-related files.
To proceed and sign documents according to company procedures.
To track the progress of document signing, submission, and return.
To archive and store documents and contracts in a secure and organized manner.
Project Support:
To guide and train project administrators on preparing procurement documents and service contracts using company templates.
To facilitate the coordination between projects and the main office in the signing of documents, both directly and electronically.
To assist projects in implementing document archiving procedures upon completion of management contracts.
Collaboration and Communication:
To collaborate with relevant departments to develop and update administrative and procurement procedures and guidelines in line with current practices.
To draft various types of letters, official documents, and notices related to personnel, services, and other matters as instructed by the Property Management Department leadership.
To communicate with the IT department to add, remove, or adjust email groups within the Real Estate Management Department upon personnel changes, and notify internal departments accordingly.
Additional Responsibilities:
To review project service fee payment files and coordinate with accounting to reconcile management service fees, issue invoices, and archive records, following project-specific models.
To manage and maintain uniforms and personal protective equipment (PPE) issued to projects (including reception uniforms, technical uniforms, and umbrellas).
To assist in generating administrative expenses and supplier expenses (TA or PO) for services (such as airfare, hotels), software costs, uniform costs, and other expenses.
To manage, monitor, and grant access to project cloud storage groups for organizing and collecting project data and files; compile and prepare reports.
To perform other duties as assigned.

1. Required Knowledge and Skills:
* Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.
* Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.
* Requires general knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.
* Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.
* Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint). Highly responsible, organized, and detail-oriented.
2. Qualifications and Education:
Bachelor degree and a minimum of two years of related experience
Working location: Capital Place, 29 Lieu Giai, Ba Dinh District, Ha Noi
