Mô tả công việc
Mô tả Công việc
1. Admin Work Efficiency Management and Supervision:
− Policy and benefits: Ensuring employee welfare, uniforms, taxi services, celebrations for birthdays,
childbirth, illness, employee ID cards.
− Ensuring timely and complete distribution of policy-related gifts to employees: gifts for International
Women's Day, Mid-Autumn Festival, Vietnamese Women's Day, Lunar New Year, etc.
− Managing, coordinating, reviewing, and implementing expenses related to the vehicle fleet and taxi
cards: fuel costs, vehicle rental, registration, tolls, maintenance, repairs, and ensuring compliance with
company regulations.
− Managing procurement to support administrative operations.
− Ensuring timely and proper payment, advances, reimbursements for expenses under the responsibility
of the administrative department, following company regulations and procedures.
− Ensuring the reception and processing of correspondence according to agreements with suppliers,
supporting the handling of arising situations.
− Managing company's document archives.
− Managing and organizing administrative events of the company.
− Drafting internal procedures/policies; drafting documents for departments/units/partners and relevant
authorities.
2. Management and implementation of office management:
− Managing the operation, maintenance, and repair of technical systems and building security; ensuring
fire safety (fire prevention and firefighting).
− Managing the office workspace and implementing office service management (office renovation,
repairs, workspace allocation for employees/departments, organizing office/building decoration for
holidays and festivals).
− Monitoring and ensuring timely renewal and re-signing of service contracts.
3. Management of office asset management:
− Managing the office assets of the company: receiving, distributing, transferring, allocating, repairing,
and proposing procurement when needed, as well as monitoring and implementing office asset
insurance to ensure the company's asset security.
− Conducting regular asset inventory, reconciling assets between accounting records and actual assets,
proposing asset disposal/handling after inventory.
4. Managing the activities of the administrative team.
− Ensuring efficient implementation of all activities of the Administrative Department.
− Managing the Janitor, Chauffer, Security guard Receptionist, admin, assigning tasks, and ensuring
cooperation and personal development within the department.
5. Perform other tasks as required by line manager.

management, Economics, or related fields.
2. Knowledge: Proficient in knowledge of administrative management and office
operations.
3. Experience
• Professional experience − Minimum of 5 years of experience in the administrative field.
• Management experience − At least 2 years in an equivalent position.
4. Specific skills/abilities
− Proficient in English for work purposes.
− Asset management.
− Office management.
− File and record management.
− Excellent communication and negotiation skills.
− Strong management and teamwork skills.
− Effective task management and problem-solving abilities.
− Time management skills.
− Analytical problem-solving skills.
− Proficiency in MS Office (Word, Excel, PowerPoint, etc.).
