Mô tả công việc
Reporting to the General Director, Administrative & Marketing Assistants is responsible for:
- Administrative activities of office as general office administration
- Supporting in organizing all office events like CSR, Team Summit, ...
- Support in organizing all marketing event/activities in Vietnam as workshops, exhibition, sponsors...
- Supporting in manage marketing marketing budget
- HR coordinator: Supporting HR on onboarding, offboarding, interview
- Regulatory Affairs assistants: Support RA to product certificates management and preparing documentation for product registration
Main tasks
Including but not limited to;
1. Administration (Front office duties and general office administration):
a. General up keep of the front office and meeting room facilities
b. Collection of daily mail, opening of mail and general distribution of mail and incoming faxes
c. Updating of forms, telephone directory and other general office administration such as travel bookings for colleagues
d. Stationary and fixed assets management
e. Supporting in organizing office events as CSR, Team Summit, Year end party, other outdoor activities..
f. Office stamps managing
g. Prepare, issue and file office letters (If required)
h. Taxi and office expenses management
i. Visa arrangement for visitor (intake permit, letter for visa purpose)
j. Supporting in processing payment for air faire and other offfice expense
k. Annual health check for staffs in Hanoi office
l. Issue and file the LOA (Letter of Authority) to distributor (if any)
m. Issue and manage in/out going letter
2. Marketing Assistant:
a. Supporting in estimate budget for marketing activities
b. Marketing expense reports
c. Support in organizing all marketing event/activities in Vietnam as workshops, exhibition, sponsors...
d. Making invitation letter to sponsored doctors and for the event (if required)
e. Complete the event registration for sponsored doctor
f. Collecting documents of sponsored doctor to get visa when needed
g. Hotel and flight arrangement for sponsored doctors
h. Arrange standee/ backdrop for the event when requested
i. Order brochure for both Hanoi and HCM office
j. Support in conducting marketing events - outside activities
k. Co ordinate with logistic to import- re-export for demo purpose
3. HR Co-ordinator for Hanoi office :
a. Supporting HR on Onboarding of New Hires, Off-boarding of resignees
b. Assist in Interview arrrangement
4. Regulatory Affairs assistants.
a. Supporting in manage and update products certificates
b. Notarized certificates (if required)
c. Support RA in implementing the products registration as preparing documentation of product registration
Any other duties & responsibilities as assigned by the management.

Education
- Diploma or Degree in Business Administration, or any related fields
Experience
- Minimum 2 to 3 years experience in an administrative role and office expense management or sales/marketing support environment
Other skills
- Proficiency in MS office (Word, Excel, PowerPoint)
- Excellent organising and planning skills
- Good communication and interpersonal skills
- Pleasant and proactive personality
- Good command of spoken and written English
Education
