Job description
The Assistant Director of Business Development and Marketing Unit assists the Unit Director in managing and facilitating the Unit's activities by carrying out administrative duties. The Assistant Unit Director is regarded as the Unit Director's designated spokesperson in all official communications and can also be in charge of certain professional duties for the Unit as assigned by Unit Director.
The primary job duties are:
• Assist Unit Director with his administrative, paperwork tasks.
• Arrange and manage Unit Director's work schedule and the Unit's general meeting schedule.
• Book meetings/visits, arrange team activities, define agenda, collate pre-read, liaise with other teams/external agencies and arrange visitor travel...
• Attend meetings and be in charge of taking notes, send out meeting minutes, and make sure all necessary post-meeting tasks are completed.
• Monitor and remind the progress of works assigned by the Unit Director to the individuals/Divisions/Departments, ensure the work is carried out on time.
• Request, collect, consolidate data and report from Divisions/Departments as requested by Unit Director.
• Review proposals, documents before submitting to the Unit Director.
• Assist Unit Director in preparing documents for internal and external events, draft and review correspondence, reports, and contracts.
• Establish, maintain and improve communication channels within the Unit, email list, organizational chart, introduction documents for new employees... and other HR administrative tasks for the Unit.
• Support Unit Director to monitor the budget and expenses of himself and Divisions/Departments within the Unit.
• Research, investigate on the issues of the Unit and, within own expertise, recommend solutions to the Unit Director.
• Other projects or duties as directed by the Unit Director.
Yêu cầu
Requirements
• University degree in Economics, Business Administration, Marketing or other related majors.
• Good English communication skills; preference is given to candidates with IELTS 6.5 or higher or equivalent examination.
• Previous experience in a similar position (assistant, secretary).
• Ability to plan and organize work effectively.
• Multitasking, handling work quickly and decisively for results.
• Accuracy in work.
• Ability to analyze and understand reports.
• Excellent written and oral communication/interaction skills. Able to build relationships in teams, as well as with key stakeholders across different levels in- and outside of the organization.
• Proficient in using office suites including Outlook, Word, Excel, and PowerPoint.
