Purchasing Administration
Supervise, train, and motivate Purchasing department employees.
Ensure the department works closely with the Executive Chef and Food & Beverage Director to purchase the highest quality products at the lowest prices.
Ensure all purchase order requests are properly completed and approved.
Negotiate food prices, place required daily food orders, and ensure prompt delivery.
Generate purchase orders on approved requisitions and obtain necessary authorization.
Obtain competitive price quotations and confirm purchase availabilities.
Provide the Financial Controller with a monthly summary of purchasing reports.
Coordinate regular inventories with storeroom personnel and department heads.
Coordinate capital project purchases with corporate purchasing and outside contractors.
Cultivate sound supplier relationships.
Conduct regular quality control audits to ensure staff are performing their duties according to standard guidelines.
Conduct food supplier premise checks with the Chef before registering the supplier as a vendor to ensure supplier compliance with Hazard Analysis Critical Control Point (HACCP) standards.
Conduct surprise audits of receiving and storage areas from time to time to ensure Hazard Analysis Critical Control Point (HACCP) standards are adhered to.
2. Team Management
Interview, select, and recruit direct reports.
Identify and develop team members with potential.
Conduct performance reviews with the team.
Constantly monitor team members' appearance, attitude, and degree of professionalism.
Prepare detailed induction programs for new employees.
Develop, conduct, and maintain all staff training programs for team members, focusing on their development needs to provide them with new skills to meet changing business needs.
Relevant educational background, vocational training, academic degree, or professional
qualification applicable to the position and commensurate with the position level
Relevant experience in a similar position and/or within a similar scale of operation, commensurate
with the position level.
Good knowledge of relevant SOPs, operational standards, health & safety requirements, and
workplace regulations.
Good communication, teamwork, problem-solving, and adaptability skills.
Strong commitment to service excellence and professional standards.
Ability to work effectively in a fast-paced hospitality environment.
Relevant professional certifications and English proficiency are advantages, depending on the
position.
