(1) Responsible in the management of contractors and services in the implementation of projects, services, and other necessary function relevant to the operations of the facilities section.
(2) Responsible in the development, implementation and monitoring of policies and procedures and correspondence.
(3) Responsible in the preparation of reports, scope of works for required jobs and services and KPI Monitoring.
(4) Responsible for the preparation of service entry, goods receipts and inventory of parts, equipment and supplies under the custody of the facilities.
(5) Responsible on all other functions related to the functions of facilities department that is relevant to the decision making and operation implementation needed by Facilities Supervisor and
Facilities Manager.
1. Operations and Control Management
1.1 Responsible for the creations of scope of works of service contractors including technical specification and functional output expectation for each job.
1.2 Responsible for the creation of performance matrix and evaluation of each contractor who do the services in the facilities.
1.3 Responsible in the creations of control measures, policies, and other related protocol to ensure efficient operations of the facilities.
1.4 Responsible in the monitoring of the job of the service contractor and prepare recommendations for improvement and changes necessary for the completion of the services.
1.5 Responsible in the preparation of facilities assessment that requires repairs, rectification, or modification.
1.6 Responsible for the preparation of project analysis and recommendation that requires budget preparation on both Capex and OPEX.
1.7 Responsible in the handling of Audit, Inspection, ISO
Documentation, and other related activity.
1.8 Responsible in the handling of internal company request of foods, car fleets, accommodation and other services provided by the facilities department.
2. Budget Control and Planning
2.1 Responsible in the preparation of job assessment in the preparation of budget.
2.2 Responsible in the development of budget monitoring tools that is necessary in the cost control function of the department.
2.3 Responsible in the preparation budget requirement by each functional areas of the department.
2.4 Responsible for the sourcing of services relevant to budget planning and PR creations.
3. Documentation and Procedure
3.1 Responsible in the creation of service notification and work list.
3.2 Responsible in the creation of policies and procedure that is necessary for the operations of the facilities.
3.3 Responsible on the posting of service entry report and goods receipts for all completed jobs.
3.4 Responsible on the creation of request for payment approval of all the billing and invoices of the facilities.
3.5 Responsible for the proper recording, safekeeping of the documents of the facilities department.
3.6 Responsible in the creation of correspondence, announcements, and other related information necessary for distribution.
3.7 Responsible in the report creations and KPI development and monitoring.
4. Management of Contractors and Services
4.1 Responsible in the creations of work duties and schedule of the service contractors.
4.2 Responsible on the creation of Audit Matrix and Performance Matrix that is necessary for the evaluation of contractor and its services.
4.3 Responsible on the creation of master schedule of notification to be used by the service contractor in the implementation of the services.
4.4. Responsible for the management of contractors by delegating the work activity and setting the expectation and evaluation of performance.
5. Team engagement
5.1 Responsible on the organization of meetings, trainings and all other functions related to the engagement of the employees of the people.
Job Specifications / Competencies
1. Possess bachelor's degree in business
administration, engineering, tourism, hospitality, culinary and other trade relevant to the operations of a facilities department.
2. Have a working experience relevant to the operations of the facilities in all industry. While having an experience in the facilities of heavy industries is an advantage.
3. Have a good communication skill that can drive a team towards a common goal.
4. Computer literate and can use MS Office.
5. Has a strong determination to learn and can work under pressure with minimum supervision.
