I. ROLE PURPOSE
The Import-Export Specialist manages international shipments of food and non-food materials for Pizza 4P's operations across Vietnam and Cambodia, ensuring full regulatory compliance and optimized logistics. This role drives supply chain efficiency by overseeing customs clearance, coordinating vendor documentation, and managing import processes for direct materials, machinery, and equipment.
II. KEY ACCOUNTABILITIES
1. Customs Compliance & Documentation
* Prepare and file import/export declarations for food and non-food shipments in compliance with Vietnamese Customs Law and Cambodian regulations.
* Maintain and organize essential customs documentation, including bills of lading, certificates of origin, phytosanitary permits, commercial invoices, and packing lists.
* Manage customs clearance processes and coordinate with freight forwarders and customs brokers to resolve delays and documentation discrepancies.
* Track shipment status and resolve compliance issues proactively before goods reach port.
2. Vendor & Supplier Coordination
* Communicate with international suppliers regarding shipping terms, Incoterms, and required compliance documentation.
* Request and verify supplier certifications, such as HACCP, food safety, and phytosanitary documents, for imported ingredients.
* Coordinate with suppliers on product specifications, lead times, and delivery schedules.
* Maintain the supplier compliance database and audit documentation.
3. Logistics & Cost Optimization
* Negotiate freight rates and shipping terms with logistics providers.
* Analyze landed costs, including tariffs, duties, and shipping expenses, to support procurement decisions.
* Optimize shipment consolidation to reduce freight expenses.
* Track import/export KPIs, including clearance time, cost per unit, and on-time delivery rates.
4. Regulatory Monitoring
* Monitor changes in tariffs, trade agreements, and food safety regulations affecting the supply chain.
* Maintain accurate knowledge of HS codes and tariff classifications for all product categories.
* Advise Supply Chain leadership on regulatory changes and import risk factors.
* Ensure adherence to HACCP standards and food safety protocols for all imported ingredients.
III. QUALIFICATIONS
Education Background Minimum: Bachelor's degree in Supply Chain Management, International Trade, Business, or equivalent
Minimum Experience Duration Minimum 3 years' experience in import/export operations, customs compliance, or supply chain management
Relevant Experience
Required: Experience with Vietnamese customs procedures and Cambodian import regulations, strong knowledge of Incoterms, HS codes, tariff classifications, and trade terminology
Preferred: Demonstrated experience with food/beverage supply chains or F&B procurement Stakeholder Influence & Collaboration
Required: Strong cross-functional and external communication skills to coordinate with international suppliers, freight forwarders, and customs brokers Industry or Domain Expertise
Required: Understanding of HACCP standards, food safety regulations, and experience with ERP systems and logistics management tools
Preferred: Khmer language skills and familiarity with customs management software or freight forwarding platforms
