Mô tả công việc
**Job description and responsibilities:
1. Compensation & Benefit: (40%)
• Ensure the monthly payroll, SHUI, and PIT reports for local & expatriate staff are implemented timely and accurately;
• Prepare and submit monthly PIT declaration, PIT finalization, dependant registration, and tax code registration;
• Prepare SIHIUI to report monthly; Register increasing and reducing labor; Follow up and prepare documents of sickness, maternity, and closed SI book when staff leaving;
• Ensure accuracy and timely report submission to Government Authorities (the Social Insurance Department, Tax Department, DOLISA, Immigration Department, etc.) including regular reports (PIT, headcounts, etc.) and ad-hoc reports;
• Make, inspect, and supervise the offer letter, labor contract, contact renewal, salary adjustment, confirmation letter, and termination process, service contract, the decision of business trip, the decision of salary increase for local & expatriate staff; Remind line manager for the probation appraisal, contract renewal appraisal;
• Ensure health insurance and personal accident program for to be updated, supporting staff about claim procedures or benefit inquiries when required, and provide guidelines on using these programs;
• Manage labor union, implement employee care activities, and effective communication of company policies.
2. Recruiting and training: (10%)
• Prepare job postings, Screening CVs, and arrange interview schedules as required;
• Look for potential candidates who require networking and understanding of the industry;
• Attending the interviews;
• Provide a Summary of the Interview to the Participants
• Update and maintain employees list, recruitment, and training databases;
• Conduct the orientation training & maintain the best support for new employees.
• Coordinate and facilitate on-boarding and off-boarding of employees.
3. HR Administration works: (10%)
• Coordinate in processing visas, work permits, and temporary residence cards for expatriates and visitors nationwide;
• Keep staff database in filling, collect newcomer information and update in the Masterfile in a timely manner and store correctly in both soft and hard copy;
• Coordinate with the lawyer company for amending/ updating the business licenses as required;
• Update/notify/instruct new/ updated changes on Insurance & Tax for employees;
• Support with C&B work relating to internal and external auditors;
• Performs other tasks or initiatives as directed by G.D.
4. Dual vocational training of FMS / AHK Vietnam: (10%)
• Coordination between the trainee, FMS, the university, and the AHK.
• Conduct job interviews.
• Create curriculum and training plans & keeping training files.
• Monitor trainees' learning successes, offering support in case of problems.
• Registering trainees for final examinations & prepare final certificates.
5. Office Administration works: (30%)
• Organize company's events (happy hour, year-end party, etc.);
• Coordinate the activities of company trips, health check-ups, and HR activities annually;
• Maintain and monitor all administrative issues including transportation, meetings, business trips (flight tickets, hotel, visa), rental contracts of real estate, office supply, office facilities and equipment, courier service, telephone/internet/mobile card services, stationery, and pantry items to ensures good working conditions;
• Making Payment request every month;
• Control admin expenses and office budget;
• Maintain and improve a professional working environment.

Requirements (skills and experience)
- At least 3 years experience in an HR & Administrative position or similar and Bachelor's degree
- Experience and familiarity with Freight Forwarding
- Multi-tasking with a good ability to prioritize tasks, able to manage own working time effectively
- Ability to work with deadlines
- Able to plan and organize a process from start to finish
- Flexible and innovative, can concentrate on solving problems
- Strong communication skills, good English command
- Self-motivated and confident individual with an eye for details
- Team player with a proactive work attitude
