I - Administrative tasks
Welcome guests, operating incoming calls and transfer to related departments.
Archiving, receiving and recording all incoming and outgoing letters, documents and packages.
Ordering stationery and purchasing office equipment.
Ordering uniforms and issueing uniforms and lockers for plant employees.
Ordering lunch meals and prepare overtime meals for plant employees; Ordering drinking water for office use and visitors.
Liaising with contractors, electricity service, VSIP water supply and waste treatment, telephone/internet service, cleaning service, security service and follow up concerned service contracts.
Follow up documents of periodical health check, hygience and safety, fire-prevention...
Translate documents from English to Vietnamese and vice versa.
Perform other jobs assigned by Plant Manager and HR & Admin Manager.
II- HR tasks:
Collecting monthly attendance records; checking daily presence of staff (reporting punctuality, lateness or absence, etc.); following up annual leaves, regulated leaves, insurance compensation, etc.;
Coordinating with manpower service for monitoring agency workers and prepare attendance records monthly.
Monthly prepare social & health insurance procedures (employees increase/decrease, weakness/ maternity policies...).
Drafting decisions on commendation and reward, appointment, discipline, termination of labor contract, and relevant letters;
Participating in HR planning recruitment and preparing relevant procedures for interview and receipt of new staff; Helping newcomers in integration with company and departments.
Arrangement, management, update, and archive for staff documents i.e Health Card, Insurance Book and so on.
Drafting offer letter, seasonal contract, official contract... and follow up the expiry date of labor contracts to extend timely.
Perform other jobs assigned by HR & Admin Manager.
