Mô tả công việc
1. Payroll:
• Trains and ensures the person using HR system of each department is able to use this system
• Contacts and follows up with the system administration to make sure the system works properly and supports our operation.
• Makes sure any change of employee employment status is updated in HR system, checking and filling of Personal Action Form.
• Coordinates with other departments to receive the Time Attendance Record on time/weekly.
• Makes sure time attendance are recorded accurately.
• Develops and maintains current payroll processing procedures.
• Performs payroll processing and month end closing of payroll.
• Prepares all input for payroll run.
• Attends to employee enquiries in relation to pay issues.
• Prepares manual payment for termination.
• Makes sure all of the supported documentation for payroll is recorded and able to track anytime.
• Make sure the figure on HR system is accurate and updated for salary calculation and for any other HR reports.
• Supervises filing of payroll reports.
• Journalizes payroll summary each month.
• Supervises filing pay slips.
• Follow up on Yearly Performance Appraisal and update into the system if any.
• Prepare for the process of annual salary increasement.
• Prepare and distribute Annual Salary Increasement Letter.
• Check and filling all the PAF (Personal Action Form).
2. Administration:
• Ensures the employee profile (hard and soft copy) is accurate, well filed and updated
• Yearly updates the employee profile in March
• Makes sure the probation assessment, renewal labor contract are processed on time
• Supports operation by alarming Head of Department about their staff performance regarding their attendance base on the report from HR system. Promptly report cases of late, or not report to work as the arranged shift
• Takes responsible for any HR reports
• Supports resigned staff in any related task
• Follow HR policy when handling the promotion, transfer of the staff
• Ensures Staff and Manager awareness of HR Policies and procedures
• Controls SAP number by requesting new SAP for new employees and deleting ones of resigned employees
• Controls overtime request and claims are supported by proper approval and authorization
• Controls and monthly updates the annual leave and compensation leave balance to relevant HODs
• Manage all the in/out document of the department
• Maintain confidentiality at all times on all matters
3. Employee relations:
• Regularly communicates with staff and maintains good relations
• Coordinates to update the discipline status of the employees
• Coaches, counsels and disciplines staff, providing constructive feedback to enhance performance
• Coordinates with Trade Union to well deliver the staff benefits
• Support Cluster HRM in other staff activities
• Arranging the office in tidy and proper order to make HR office become an "attractive place" for associates
• Makes sure all new employees have uniform, shoes, nametag and locker
4. C&B:
• Makes sure all staffs are register for Social Insurance on time, health Insurance cards are updated accurately and on time.
• Follows up with Finance to make sure the payment for Social Insurance is done on time and accurately.
• Tax Registration for all staff.
• Perform other duties assigned by Cluster HRM from time to time.
5. Training & Development:
• Assistant Training Manager in Training Record and other preparation for Training Program if required.
