A new Japanese manufacturing company in Vietnam is looking for a potential candidate for Office Manager position. Location: Vinh Phuc (shuttle bus/ travel allowance support from/to Hanoi)
General Job Description
Accounting / Finance
  • To take full responsibility of the Accounting System following Group policies, such as accounting standards and regulations of the Revenue Department.
  • Scope of work includes costs, accounting system, fixed asset system, inventory control, financial management plans, internal auditing system, tax planning, closing account processing etc.
Human Resource / General Administration
  • To be responsible for HR Management and development in accordance with the company's vision, mission (SEQCDDM*) and principles.
  • Increase awareness of all employees for achieving company targets, including safety.
  • Overseeing all company facilities for smooth operations and employee satisfaction (ES).
*SEQCDDM = Safety, Environment, Quality, Cost, Delivery, Development and Management
Purchasing
  • To be responsible for the whole process of purchasing management, including supplier management. This is for both domestic suppliers and imports of materials.
Planning
  • To be responsible for establishing annual budgeting and Mid Term Plan (MTP) as company policies, including the control and following-up of the annual budgeting and MTP.
  • To be responsible for establishing the integrated operations plan with other related functions; to take corrective and improvement actions, and follow-up closely on the result of improvement according to the budget planned.
Information Technology
  • To manage network systems and take care of computer equipment (i.e. software) in order to provide job support for the various functions in the company. This is to better respond to customer requirements, and follow Group's Information System standards.

  • Develop policies and strategies to support company vision, mission and principles, including all of policies instructed from Head office (in Tokyo)
  • Planning in strategic management to be more proactive and professional in Human Resource Management and Human Development
  • To strive for employee satisfaction (ES) and balance it with customer satisfaction (CS), shareholder satisfaction (SS) and corporate social responsibility (CSR)
  • Plan and improve purchasing management
  • Plan for budget and MTP development

  • Perform accounts closing every month on time with accurate data and reports
  • Accurate reports on variance analysis between budget and actual results (to improve operations)

  • Two-way communication with the employees about all company policies, announcements, regulations, and any other important matters
  • Establish and improve good relationships with suppliers
  • Establish and improve good relationships relevant government parties

  • Supervise and support all working procedures in complying with the company's policy based on occupational health, safety and environment system.

  • Comply with the requirements of Quality Management System (QMS)

REQUIREMENTS:
Education Background
  • At least a bachelor's degree in Accounting or other related fields
Professional Experience
  • At least 12 years of experience in Accounting and Finance (especially Costing)
  • At least 3 years of managerial experience
  • Knowledge in IT systems
  • Fluency in written and spoken English
  • Background in automotive industry (strongly preferred)
