This is an individual contributor position with no direct reports. The Vietnam office is a lean team so the position requires a highly hands-on approach to day-to-day office operations and coordination with external vendors and service providers.
KEY RESPONSIBILITIES
1. Administration & Office Management
Maintain and manage the Company's legal and corporate documents, including Business License, Investment Registration Certificate (IRC) and other relevant legal documents.
Manage administrative payments and
purchasing, including landlord rent, office supplies, monthly office snacks and food within the approved budget and other office supplies and equipment as needed.
Manage end-to-end immigration and employment-related procedures for foreign employees, including Work Permit, Business Visa and Temporary Residence Card (TRC) applications and renewals, either independently or through external vendors when required.
Coordinate with landlords, vendors, service providers and other external parties to ensure smooth office operations.
Perform other administrative tasks and duties as requested by the General Manager.
2. Human Resources Management
Manage the full lifecycle of employment contracts and HR documents, including preparation, renewal, expiry tracking, and updates.
Manage and monitor employee onboarding and offboarding processes.
Handle recruitment activities, including job posting, candidate sourcing, CV screening and initial interviews (if any).
Manage monthly payroll and Social Insurance (SHUI) matters.
Maintain HR databases and ensure employee information is kept strictly confidential.
3. Payment Support
Manage and coordinate the Company's payment processes, including bank transfers and credit card transactions.
Coordinate with the external accounting vendor to provide invoices, bank statements and other supporting documents required for payment purposes.
REQUIREMENTS
Candidates who are available to join immediately are strongly preferred
Bachelor's degree or College degree in Human Resources, Business Management or a related field.
Able to communicate effectively in English, both written and spoken.
Around 4 years of experience in HR, Administration, Office Management or a related role, preferably in a lean and hands-on working environment.
Strong ability to work independently with a high level of ownership.
Good organizational and time-management skills with the ability to manage multiple tasks and priorities.
Good attention to detail and ability to maintain confidentiality when handling sensitive company and employee information.
