* School fees
• Connect proactively with Head of Admissions and Communication and Chief Accountant to learn about tuition fee schedules and special offers; with Enrichment Coordinators about club fees;
• In responsive manner, support parents' enquiries on invoices, special offers;
• Manage Point of Sales machines, taking all payments via credit cards;
• Follow Accounting Guidelines, coordinate with the account receivable to keep track of all payments, contact parents regarding overdue fees, facilitate meetings to discuss payment plans if needed;
* Petty cash and dealing with cash payments
• Ensure there is enough petty cash for school's daily operation, advance school's petty cash upon OM's approval;
• Follow Standard Operating Procedures, collect payments in cash, including, but not limited to, Facilities Lending Deposit, Winter Fayre Tokens, make weekly petty expense report to the accounting, send cash collections together with all cash receipts or/and payment vouchers to the accounting office;
• Issue tokens for school events, such as Winter Fare. Keep track of expenses and revenues of such events, issuing profit and lost reports;
• Assist ECA coordinator to process payments to ECA coaches and refund to parents upon his/her confirmation;
• Perform cash count monthly with a member of the accounting office to ensure transparency;
* Uniform
• Oversee uniform budget. Coordinate with Head of Admissions and Communication to estimate uniform quantities and process the uniform orders, ensure all uniform sizes are available and uniform stock is within approved limit;
• Organize distribution process, including but not limited to estimating the order quantities, making distribution plan, coordinating the support staff, keeping correct inventory records.
• Oversee uniform shop, maintain its absolute cleanliness, tidiness and attractiveness at all times;
• Create an exceptionally professional, warm and welcoming atmosphere in the school's shop, greet everyone with a positive and helpful attitude;
• Look at measures to expand the service or enhance costumers' experience actively.
• Stock-take and issue inventory report annually or when required.
• Any other tasks reasonably assigned by Office Manager and Chief Accountant.
