Position Purpose:
The Position will assist the Operations Department in the implementation and provide project support/management as required including but not limited to:
Under limited direction, anticipates and executes advanced administrative functions that support the needs of internal and external customers.
Functions as a key administrative support individual to the Head of Operations, Operations Manager, and Consultants.
Key relationships include: Head Office departments, Restaurant Management Teams, and Internal and External customers
Accountabilities:
Principal Accountabilities
In addition to following McDonald's policies and procedures, principal accountabilities include, but are not limited to:
Core Administrative
Collate results, track reports (daily, weekly, monthly, quarterly), follow up and generate reports, and assist in the administration of operations initiatives
Manages Operations key spreadsheets, forms, data, etc
Tracks and follows up on grading reports, ROIP completion, Monthly scorecards, performance reviews, etc
Co-ordinate the weekly courier bag system between the restaurants and the office
Manages the online invoice approval system between the restaurants and the office
Books all travel arrangements, accommodation, and reservations for the Operations team and currently Restaurant Management staff attending international courses
Owns and co-ordinate the ordering & delivery process for uniforms, and office supplies to the restaurants
Management of various Vendors (ie: Security, Rentokil, etc)
Process telephone calls and answer inquiries
Take ownership of and responsibility for filing and records including contracts and Restaurant files
Manages and facilitates all expense claims, and other advanced administrative support to Operations
Monitors and maintains regular department processes, including reporting, tracking, and regular events/requirements as required
Manages meetings including but not limited to monthly business reviews, people/opts, marketing/opts, supply chain/opts, finance/opts, and supplier meetings. Collates and distributes recaps and minutes from those meetings
Manage, maintain, and update the Operations Dept. annual leave tracking
Provide support to restaurants on an ad hoc basis as needed (ie: conducting trading area surveys, validating vouchers/BOGs, occasional delivery and/or pick up of items to/from the restaurants, etc).
Workflow Management
Develops systems to streamline and gain efficiencies in work processes. (Filing, use of in trays, other systems)
Tracks progress on project management for Dept.
Develop, implement, and maintain document control systems (ie: reward and incentive systems,
Operations calendar, anniversaries, etc)
Special Projects
Manages, coordinates, and participates in the planning and execution of special events for the department or company
Coordinates specialized or complex projects and meetings and takes minutes where required
Participates in cross-functional teams as assigned.
Owns and publishes the Operations Dept. newsletter
Health and Safety
Proactively participates in the ongoing management of Health and Safety in the workplace by performing all duties with due care to the health and safety of self and others within the guidelines of the relevant policies and procedures and by following reporting guidelines for accidents, hazards, and potential hazards.
REQUIREMENTS:
Proficient in MS Office skills (especially Excel)
Proactive in work and able to handle a large workload
Detail-oriented, dynamic, and serious
Quick problem-solving thinking
Basic English communication skills
