The Opportunity
We are a stable, successful, and growing international Architecture outsourcing company. After years of strong growth, our General Director is looking for a Personal Assistant to help manage his daily administrative workload.
You will work directly with the General Director to offload his repetitive tasks, allowing him to focus on the company's future. You will work in a supportive, professional environment and work with all employees.
Key Responsibilities
This role requires a "hands-on" approach. You will be responsible for the following:
1. HR Administration & Contract Management
• Contract Tracking: Monitor staff contract dates and updates; coordinate with the Director and the HR department for the preparation of contract documents.
• Execution: Arrange meetings for contract signings, scan documents, and ensure both digital and physical copies are filed correctly and transmitted to the external HR department.
• Salary Privacy: You will have access to sensitive data; absolute discretion and 100% confidentiality are strictly required.
2. Financial &
IT Support• Accounting Liaison: Support in printing, stamping, scanning and filing of confidential financial data.
3. General Support
• Maintaining the client contract register
• Improving office efficiency by updating Excel and Word templates.
• Handling specific administrative tasks assigned by the Director to save him time.
We are looking for a personality match rather than a long list of corporate credentials.
• Character: Extremely honest, reliable, and able to keep business secrets. You must be comfortable handling confidential information.
• Experience: Previous experience in administration or as a PA.
• Organization: You must be systematic. If you enjoy checklists, filing, and keeping things "in order," you will thrive here.
Skills:
• Able to communicate using the English language.
• Proficient in Microsoft Excel and Word.
• Detail-oriented (you catch the small mistakes).
