A/ JOB SUMMARY
Responsibility to provide comprehensive administrative support for procurement activities, ensuring smooth operation and management of purchase orders, contract negotiation, or risk management.
B/ ESSENTIAL DUTIES & RESPONSIBILITIES
· Ensure that signed contracts, purchase orders, and invoices are submitted to the Accounting team prior to scheduled payment processing. Additionally, manage contract risks and negotiate terms with suppliers.
· Contract Management: Oversee all business contracts with suppliers and advise the procurement manager on ways to optimize corporate benefits through contract terms.
· Purchase Order Management: Verify that all purchase orders are signed and stamped by both parties, and maintain tracking of signed purchase orders.
· Invoice Management: Verify that the quantities, unit prices, and terms on vendor invoices align with the information in the purchase orders and received quantities.
· Coordinate with suppliers to ensure invoices are issued simultaneously with parts being shipped to GES VN.
· Create Import Requests for materials and liaise with the logistics team for customs clearance of imports.
· Ensure adherence to company procurement policies and procedures.
