Procurement & Logistics Officer

* MISSION:
- Maintain purchasing activities in a smooth and controlled manner, thereby meeting the organization's essential needs in operational activities.
- Ensure that import/export activities of materials, equipment and other kind of goods implemented smoothly and complies with local legal regulations.
** ROLE AND RESPONSABILITIES:
I/ Procurement
- Receive requests of purchasing needs (materials/spare parts/service...), then deliver properly given specifications or requirements to competent suppliers through sourcing activities.
- Manage RFQs, carry out negotiation process, handle comparison of both prices and terms from mutiple potential suppliers.
- Carry out analysis, assessment & propose the best supplier for specific requested goods/service.
- Responsible for monitoring & replenishing packaging component inventories.
- Submit Purchase Request & create Purchase Order in SAP ERP.
- Prepare, thoroughly review Procurement contracts to make sure that all terms & conditions stated are proper defined, thereby prevent company from any potential risks of liability/legal violation & ensure everything is aligned around expectations for how a specific procurement will proceed.
- Communicate & follow strictly with suppliers to ensure that materials/services are delivered on-time, meet our desired requirements.
- Conduct 3-way-matching process (purchase order, invoice, and goods receipt).
- Follow & arrange payments to suppliers.
- Collect & maintain documentation records of delivered goods/service properly according to legal requirements.
- Collaborate with relevant department in improving or dealing with any complaint related to goods/service provided by suppliers.
- Involve to build, improve & maintain effective quality, environmental management system being applied in the organization.
II/ Logistics
- Organize & follow up Import shipments which are with Incoterms belonging to Relats' responsibility.
- Responsible for Import declaration activities complied with relevant legal regulations.
- Responsible for preparation & submission of C/O application for export goods.
- Involve to prepare & submit annual Customs report.
- Other required tasks from direct supervisor.
In case of absence, delegate to: Procurement Officer/ Logistics Coordinator.
