The project is seeking a motivated Project Assistant - 06 Months Project-Base Contract, based in Ho Chi Minh City to support our training programs, partnership management and event activities.
* KEY RESPONSIBILITIES
The Project Assistant will be responsible for the implementation of project activities in close coordination with the
Project Manager.
1. Project & Training Coordination
• Project Assisting: Assist Project Manager in coordinating and implementing projects to ensure they are delivered on time and align with IECD/Ubuild goals.
• Training Supporting:
- Coordinate with trainers for agenda shaping of training activities, workshops, conferences, and networking events.
- Provide end-to-end logistical support for project staff and trainers, including travel arrangements and meeting coordination.
• Post-Training Engagement:
- Support trainers in conducting follow-up visits to the beneficiaries (online or offline).
- Engage Alumni for workshops, events to create long term impact.
• Beneficiary Management: Support trainers in recruiting process for the project's beneficiaries and manage their successful integration into the program.
• Stakeholder Engagement: Maintain effective communication with external partners: local government, local social enterprises, business associations, to ensure a smooth flow of information.
2. Administrative and Finance Support
• Record Keeping: Coordinate with trainers in maintaining organized records of all project personnel, trainer contracts, and participant documentation (photos, recordings, signatures, and records) to ensure donor compliance.
• Cost-Effective Sourcing: Source and secure appropriate, cost-effective suppliers for training venues, local travel, and materials to maximize the project budget.
• Financial Administration: Assist the Project Manager with financial tasks, such as tracking expenditures against the budget and preparing payment requests.
• Communication Content:
- Provide field-based inputs for success stories, social media content, and marketing materials.
- Ensure that the project's communication tools are up to date (presentation, brochure, flyer, facebook page, etc.),
- Collaborate closely with the Communication Manager to establish a clear communication plan to promote the programs effectively.
3. Monitoring, Evaluation, and Reporting
• Data Entry & Integrity: Coordinate with trainers to ensure the timely and accurate update of project data on Salesforce (including beneficiary information, KPIs, and M&E plans).
• Data Collection: Regularly collect feedback from entrepreneurs and project stakeholders to measure progress against project targets.
• Progress Reporting: Provide primary data and training-related inputs to the Project Manager for quarterly reviews, donor updates, and formal reports.
• Indicators Tracking: Track, collect and update specific project indicators (e.g., training attendance, skill improvement, and post-training business growth) to ensure quality standards are met.
• Budget Monitoring: Assist the Project Manager in monitoring expenditures and providing inputs for quarterly financial reviews.
• Operational Review: Contribute to the quarterly review of operational and project work and execute follow-up actions as assigned by the Project Manager.

• Education: University degree in Business Administration, Public Administration, International Development Studies, Marketing, or a related field.
• Experiences:
- A minimum of three (3) years of professional experience in project coordination, administration, event organizing or marketing, preferably within the community development, NGOs environment, or SME development sectors.
- Proven experience in coordinating with local partners and local government.
• Skills & Competencies:
- Excellent planning, time management, problem-solving and organizational skills with a high level of attention to detail.
- Strong teamwork skills and the ability to engage effectively with diverse stakeholders.
- Experience preparing comprehensive, well-structured, and engaging content for a variety of formats (Reports, Publications, etc.).
- Open to continuous learning and comfortable collaborating in a small team environment where information sharing and workload distribution are essential.
- Good understanding of local government context with relevant network is an advantage.
- Ability to manage multiple tasks, meet deadlines and work in an international environment.
- Proven superior written and verbal communication skills in English.
- Strong command of Microsoft Office applications (Word, Excel, PowerPoint).
- Prior experience using Salesforce or other CRM/M&E databases is highly desirable.
