✈️ Work Nature:
Full-time and fully remote
Working hours: 40 hours per week, Monday - Friday
Contacting points might include but not be limited to the CEO, team leads (SEO, Content, Design, IT, CRM, Ads), and clients.
👩💻 Responsibilities:
At SEO Navigator, we're looking for a Project Coordinator who keeps work moving, keeps priorities clear, and keeps the CEO's week organized. This role goes beyond a traditional coordinator: you will run our AI operations hub, which assigns tasks automatically based on priorities and team availability. You'll also work directly with the CEO on what the team should focus on each week.
Key Responsibilities:
Coordinate delivery across SEO, Content, Design, Web, CRM and Ads so every hand-off happens on time
Keep ClickUp accurate and send a clear daily status report (overdue, blocked, stuck in review, wins)
Maintain team capacity and project timelines (availability, leave, workload, deadlines) so our AI orchestrator can auto-assign tasks correctly, and catch and fix wrong assignments
Run our AI operations hub: schedule AI workflows, triage team feedback on AI outputs, and post a weekly summary for leadership
Plan weekly team priorities with the CEO and team leads, and share them every Monday
Support the CEO with calendar, meeting prep, notes, decisions and follow-up
Escalate risks early with cause, impact and a proposed fix
Send clients clear updates and reminders on timelines and what we need from them
Spot recurring friction and propose process improvements
🌋 Requirements:
2+ years of experience in Project Coordination, or Operations, preferably in an agency
Hands-on experience using AI tools (e.g., Claude) and project management tools (e.g., ClickUp)
Comfortable working with structured data such as capacity sheets, timelines and workload views
Highly organized, detail-oriented and careful: you check before you send
Calm under pressure, able to stay steady when many urgent requests arrive at once
Learning mindset: you pick up new AI tools and workflows quickly
Confident in following up with team members respectfully and firmly
Good written and spoken English
Discreet with confidential information
