Purchasing Admin (Temporary)

1. Administration:

- Manipulate on system (generating supplier codes, creating orders, creating goods entry cards for the warehouse department, retrieving inventory data)

- Monitor and update the detailed status of purchase orders on system and tracking file of Purchasing department (Excel file).

- Check and confirm the purchase/sale contract of raw materials and services.

- Check import documents and do import procedures.

- Follow up on order fulfillment.

- Support to resolve disputes with suppliers related to administrative procedures within the scope of work under the guidance of superiors.

- Support to check the content and accuracy of the invoices for purchasing raw materials, invoices for service costs, other expenses, and handing them over to the accounting department monthly.

- Support to gather data, supplier information records, and other documents to serve the periodic internal assessment of ISO, Global Gap, B.A.P.

- Check the content of the payment documents and coordinate with the accounting department to monitor the payment progress on time.

- Perform marine insurance operations.

- Support the debt clearing procedures related to the settlement of goods quality complaints.

- Support to resolve disputes with suppliers related to administrative procedures within the scope of work under the guidance of superiors.

- Check the content and accuracy of the invoices for purchase of raw materials, invoices for service costs, and other expenses and hand them over to the accounting department monthly.

2. Coordination and transportation

- Update status of raw material orders.

- Balance demand with warehouse department to report weekly receipt schedule.

- Follow up orders and report the need to order in the short term.

- Send request to seal the goods, monitor the progress of receiving goods at the Port

- Update weekly receiving plan for weighbridge - warehouse - quality parts.

- Track the ship's docking schedule for imported goods

- Warn queue schedule does not match the terms of queuing on the contract.

- Implement and plan to deliver materials from suppliers to factories according to approved contracts

- Regulate the plan of importing raw materials to balance the needs of the factory and the supplier's ability.

- Warn the possibility of lack of goods for the buying team.

- Arrange internal material transfer between factories when needed.

3. Report

- Report the ship's unloading schedule according to the contract.

- Report on the progress of the supplier's contract performance and the import plan of the factories

- Report daily work progress and unresolvable difficulties and obstacles
