The
Purchasing Manager is the steward of everything that enters the room, from ingredients and tableware to the furnishings, fittings, and day-to-day supplies that shape how members experience 1010 Đà Lạt. This is a hands-on role that owns the buying end to end for the site while leading a small purchasing function - close enough to the work to place an order and resolve a shortfall, yet organised enough to keep supply running smoothly behind a busy club.
Working within a service-led, people-first club, the Purchasing Manager balances considered sourcing standards with the realities of the Đà Lạt and wider Vietnam market. The role calls for sound commercial judgement, structured process, and the instincts to build a supply chain that supports daily gatherings and the long-term value of the club.
RESPONSIBILITIES:Purchasing & Day-to-Day Buying
Own end-to-end purchasing for the Đà Lạt club, from requisition through to delivery and receiving.
Place, track, and reconcile orders across F&B, beverages, OS&E, and operational supplies.
Stay hands-on - resolve shortfalls, substitutions, and urgent needs so service is never interrupted.
Supplier Community & Relationships
Build and steward a carefully selected local supplier community across Đà Lạt and Lâm Đồng.
Negotiate pricing, terms, and service agreements that deliver reliability, consistency, and long-term value.
Hold regular supplier check-ins to maintain trust, quality, and accountability.
Sourcing & Category Management
Source across F&B, beverages, OS&E, FF&E, maintenance, and services for the site.
Make the most of Đà Lạt's local produce and growers, sourcing specialised or imported products where necessary.
Monitor the market and introduce new suppliers, products, and better ways of buying where relevant.
Inventory & Stock Control
Oversee stock levels, receiving, and storage to keep the room supplied and accurate.
Minimise waste, discrepancies, and stockouts through careful planning and par levels.
Coordinate deliveries and supplier timelines around the club's operational rhythm.
Cost Control & Financial Alignment
Manage the purchasing budget and track spend across all categories.
Identify and implement efficiencies without compromising the quality of the room.
Partner with Finance on ordering, reporting, and reconciliation.
Team & Operational Management
Lead and develop a small purchasing team while staying close to the work yourself.
Set clear, simple purchasing routines, approval steps, and controls for the site.
Support departments with planning, forecasting, and timely execution.
Compliance & Governance
Ensure purchasing activity aligns with internal policies and Vietnamese regulations.
Maintain accurate, well-ordered records of suppliers, contracts, and transactions.
Support audits and carry purchasing forward with transparency and accountability.
Cross-Functional Collaboration
Work closely with the Head Chef, Club Manager, Finance, and Operations to align buying with the needs of the room.
Ensure purchasing contributes to overall brand, operational, and financial objectives.
3-5 years' experience in purchasing or procurement within hospitality or F&B operations.
A hands-on buyer, comfortable both managing a small team and doing the work day to day.
Strong negotiation, supplier relationship, and order-management skills.
Experience across F&B and operational supply categories.
Sound commercial acumen, including budgeting, cost control, and spend tracking.
Strong organisational, analytical, and problem-solving ability.
Proficiency in purchasing or inventory systems and Microsoft Office (especially Excel).
Ability to stay calm and effective in a fast-paced, service-led environment.
Experience working within, or adapting purchasing practice to, the Vietnam market is highly valued.
Professional, structured, and commercially considered approach.
PREFERRED EXPERIENCE:
Familiarity with the Đà Lạt / Lâm Đồng supplier and grower network.
Experience with local sourcing of fresh produce alongside specialised or imported items.
Experience supporting a pre-opening or a growing single-site operation.
