JOB RESPONSIBILITIES
1/ Receptionist
• Greet and welcome guests as soon as they arrive at the office
• Direct visitors to the appropriate person and office
• Answer, screen and forward incoming phone calls
• Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
• Provide basic and accurate information in-person and via phone/email
• Receive, sort and distribute daily mail/deliveries
• Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
• Order front office supplies and keep inventory of stock
• Update calendars and schedule meetings
• Arrange travel and accommodations
• Keep updated records of office expenses and costs,
• Submit and reconcile expense reports
• Perform other clerical receptionist duties such as filing, photocopying, transcribing...
2/ Administration
• Maintains office services by organizing office operations
• Serve as the point person for maintenance, supplies, equipment, bills, and errands
• Manage with suppliers for car rental, office equipment and furniture purchase, office set up and maintenance, telecommunication (lease line/ ADSL, phone...)
• Deal with housing/ apartment lease contract for the expat staff.
• Assist the expat staff when they have issues with the housing, apartment
• Assist
admin manager to organize office events
• Arrange transportation for the whole office for daily pick up and business travel
• Book air-ticket, accommodation for staff who needs business travelling domestic, over-sea.
• Apply visas, work permit, residence card...
• Provide general support to visitors: arrange transportation, accommodation, arrange lunch, dinner...
• Purchase and provide stationery to the staff
• Deal with any issues might come with office fixing, electricity, IT, ADSL...
• Support time attendance, update working schedules, visitor schedules, leaves
• Make courier daily shipment for samples/ swatches...
• Maintain office cleanliness.
