As a CBRE Receptionist, you will provide advanced administrative support for multiple departments or offices. This includes greeting visitors, answering calls, setting up meeting rooms, and other tasks. This job is part of the Workplace Experience function. They are responsible for providing world-class customer service to the clients and visitors of a designated buildings.
Provide customer services at Reception Area:
• Receive and direct incoming calls to appropriate personnel and voicemail.
• Greet clients, applicants, and visitors upon arrival. Issue visitor passes and parking validations and follow security protocols. Escort visitors to the proper location.
• Perform intermediate clerical duties including distributing office faxes, and packages, and ordering office supplies
• Maintain clean appearance of reception area. Request building and housekeeping services as needed.
• Arrange convenience and hospitality services for guests such as transportation, reservations, etc.
• Recognize and solve typical and atypical problems that can occur in own work area without supervisory approval.
• Evaluate and select solutions from established options.
• Follow standardized procedures and practices and receives regular but moderate supervision and guidance
Manage Inbound & Outbound Mail Service:
• Screen incoming and outgoing packages, mail, and freight. Arrange messenger service as needed
• Receive, sort, notify, distribute all inbound and outbound mails, following Mailing Service SOP.
• Manage mail service vendor performance.
• Check mails to ensure correct postage and that packages and letters are in proper condition for mailing.
• Prepare and provide all necessary stationery/amenities for mailing.
• Record-keeping of all inbound and outbound mails.
Support Other Office Services:
• Oversee office services like cleaners and maintenance service providers at the reception area.
• Provide back-up for service request coordinator as the need arise.
• Other soft service tasks/duties as assigned by supervisor.
Yêu cầu
• Qualifications:
- Bachelor's degree/diploma in communications, foreign language, or business, ideally with 2-3 years job-related experience.
- Proficient in Microsoft Office software.
- Good communication skills in both Vietnamese and English, both written and verbal.
- Willingness to travel to VSIP 3 in a daily commute.
• An established understanding of work routines and standards and applying skills and knowledge in a range of processes, procedures, and systems are required.
• Requires intermediate problem-solving skills with the capacity to review and select solutions from available options without supervisory approval.
• Ability to explain detailed and complicated information within the team in a clear and concise manner.
• Advanced knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
