Job Summary
• Responsible for managing accounts payable, domestic and overseas payments, treasury operations, and banking transactions to ensure all company payment obligations are processed accurately, timely, and in compliance with internal policies, tax regulations, and accounting standards.
• Ensure the entire payment and TPA process is properly controlled through thorough review of supporting documents, verification of contract terms, budget validation (Finance review), beneficiary information, DOA approval compliance, and document validity prior to accounting entry posting and payment execution to vendors.
• Ensure AP, expense, payment, banking, foreign exchange, and related transactions are accurately and timely recorded in SAP to support financial reporting, management reporting, and month-end closing activities.
• Manage payment planning and cash flow to optimize working capital utilization, maintain liquidity, and support banking, foreign currency, loan, and other financial obligations of the Company.
• Support external/internal audits, tax inspections, VAT refund processes, process improvement initiatives, WI/SOP standardization, and system enhancement projects to improve operational efficiency, strengthen internal controls, and reduce manual workload.
Job Responsibilities and Accountabilities
Key Area Result A: Accounts Payable Management, Payment Documentation, Tax & Compliance Control
• Review and verify payment documents including invoices, contracts, purchase orders, goods/service acceptance minutes, delivery documents, TPA, payment requests, and related approvals prior to payment processing.
• Verify payment amounts against contract terms, actual goods/services provided, payment policies, approved budgets (Marketing, Capex - Finance review), and company authorization matrix (DOA).
• Ensure payments are made to the correct vendor/beneficiary, correct bank account, correct amount, correct currency, and within the agreed timeline without duplicate payments or payments processed with incomplete supporting documents.
• Ensure compliance with invoice/document requirements, VAT, WHT, CIT, and other applicable tax regulations before recording expenses and processing payments.
• Proactively coordinate with relevant departments to request additional documents, correction of GL/cost center coding, beneficiary information updates, or clarification for transactions with compliance, tax, approval, or budget risks.
Key Area Result B: SAP Posting, Vendor Master Management & AP Reconciliation
• Create, maintain, and control vendor master data in SAP to ensure vendor information, tax codes, bank accounts, beneficiary details, and related data are complete and accurate.\
• Record AP, expense, domestic/overseas payments, banking transactions, loans, foreign exchange transactions, and related accounting entries in SAP accurately and timely in accordance with accounting standards and company policies.
• Ensure all accounting entries are posted to the correct GL accounts, cost centers, expense categories, accounting periods, and transaction nature.
• Monitor AP balances by vendor, due date, expense type, payment status, and document status to ensure proper control over outstanding liabilities.
• Perform vendor reconciliation, MAP reconciliation, bank reconciliation, vendor clearing, and timely resolution of discrepancies, outstanding balances, and unmatched transactions.
• Prepare allocation entries for short-term/long-term expenses, AP adjustments, accruals, and other accounting entries required for closing, audit, or internal review purposes.
• Process material receipt postings, marketing expenses, and Capex entries into SAP as assigned.
Key Area Result C: Treasury, Banking, Cash Flow & Foreign Exchange Management
• Monitor daily bank balances, cash inflows/outflows, payment obligations, and funding requirements to ensure sufficient liquidity for business operations.
• Prepare, update, and control payment plans in line with actual cash flow, payment terms, approved priorities, and authorized approvals.
• Prepare and monitor monthly cash flow reports and rolling 3-month cash flow forecasts, including projected receipts/payments, foreign currency requirements, loans, guarantees, credit facilities, and significant cash outflows.
• Coordinate with banks regarding payment documents, foreign currency purchases, term deposits, loan agreements, SBLC issuance, transaction confirmations, banking facilities, interest rates, and other banking-related matters.
• Update daily exchange rates in SAP, monitor FX fluctuations, support foreign currency
purchasing plans, and perform month-end foreign exchange revaluation in compliance with accounting regulations.
• Identify and escalate potential liquidity risks, unexpected large payments, or unplanned cash outflows in a timely manner.
• Recommend payment prioritization, funding allocation, foreign currency purchase plans, and utilization of loan facilities based on cash flow conditions
Key Area Result D: Month-End Closing, Reporting, Audit & Process Improvement
• Perform month-end closing activities from WD-27 to WD3, including AP review, payment review, banking transactions, expense allocations, loans, FX revaluation, vendor clearing, and adjustment entries.
• Ensure all assigned accounting transactions and supporting documents are completed accurately and within the month-end closing timeline of the Finance & Accounting Department.
• Prepare periodic reports including AP aging reports, cash receipts/payments reports, cash flow reports, FX and loan interest reports, payment guarantee reports, utilized/available credit limit reports, and other management reports as required.
• Prepare and provide supporting documents, invoices, banking records, reconciliations, and explanations for KPMG Audit, Tax HCM Audit, VAT refund reviews, and other audit/tax inspection requirements.
• Maintain organized filing and retention of payment documents, bank documents, AP records, contracts, invoices, and accounting documents to ensure compliance with audit and tax requirements.
• Draft, update, and standardize WI/SOP for AP, payment, banking, cash flow, SAP, and closing processes while continuously improving workflows, reporting, automation, and operational controls to enhance efficiency and reduce manual work.
• Support goods receipt processing, AP/banking-related documentation, and other accounting and finance tasks assigned by management.

it Support & Document Management
• Prepare periodic reports related to AP aging, cash flow, payments, banking facilities, loans, guarantees, and other management reporting requirements.
• Prepare supporting documents, invoices, reconciliations, banking records, and explanations for external/internal audits, tax inspections, and VAT refund processes.
• Coordinate with auditors, tax authorities, banks, vendors, and internal departments to provide explanations, supporting documents, and resolve outstanding issues.
• Ensure all accounting, AP, banking, and payment documents are properly maintained, filed, and easily retrievable for audit and compliance purposes.
• Follow up outstanding issues identified during audits/reviews and coordinate corrective actions within the assigned scope of responsibility.
