Mô tả công việc
JOB PURPOSE
- To support all Expatriates at TH Schools
- To manage recruitment and training at TH Schools
AREAS OF RESPONSIBILITIES
1. Record and manage files
- Record and manage profiles of current Expatriates including hard and soft copies, ensure each staff has a full profile according to HR requirements and School's requirements, update on a regular basis
- Record and manage profiles of resigned Expatriates
- Record and manage Expatriates labor contracts, contracts with suppliers, official correspondence, decisions, and other important documents.
2. C&B:
- Record timesheets for Expatriates, form timesheets
- Keep track of Expatriates leave, ensure that staff hand in enough required documents for each leave, record to timesheet
- Calculate payroll including Vietnamese and Expatriates.
- Make contract labor for Expatriates
- Other C&B tasks as assigned by HR Manager
3. Manage Expatriates resignation
- Receive and record resignation letter of staff
- Perform handovers before staff resigns.
- Draft compensation declaration for resigned staff, send for signatures and send to Accounting Department
4. Record and claim insurance for Expatriates
- Notify the increase and decrease in health insurance when there is a change in human resources (new staff, staff resigning, change of policy)
- Working with insurance company to support Expatriates with medical insurance claim in case of sickness, accident
5. Applying for visa, work permit, residence card for Expatriates
- Check Expatriates' degrees, certifications, other documents and instruct Expatriates in getting the documents legalized/certified to apply for work permit
- Prepare application form, official correspondence, other required documents to apply for Expatriates' visa, residence card
6. Manage Grab account for Expatriates
Work with Admin team to create and manage Grab account for Expatriates
7. Support Expatriates in accommodation
- Support Expatriates in apartment/house hand-over
- Work with the landlord/house agent/building management to solve all the issues related to rented accommodation for expatriates
8. Support Expatriates in other HR related fields
- Prepare welcome pack for new expatriate
- Book car/taxi and go to the airport to pick-up new expatriate
* Arrange hotel/accommodation for new expatriate
* Take part in the HR induction to open new bank account, register SIM card, for new expatriate
* Prepare HR payments related to expatriate
* Work with airline ticket agent to get quotations and book ticket for Expatriates
* Arrange and support Expatriates with health check-up
* Report to HR Manager if there is any issue
9. Perform process of recruitment
- Maximize candidate resources. "Value for money" recruitment method
- Re-build current candidate database proffesionally
- Make sure candidates for specific posts at TH School are available
- Make purchase and payment requests for job posting on recruitment websites and recruitment agencies
- Receive approved staff requisition form from requiring departments.
- Form recruitment notice according to attached job description, post on recruitment websites as approved by HR Manager, contact centres, schools and other resources to send recruitment notice
- Answer candidate's enquiries about recruitment positions
- Receive applications, record and send to Head of Department that requires recruitment
- Prepare list of interviews, make phone calls, send interview invitations to candidate, prepare interview room, candidate's profiles
- Send offer letter to qualified candidates according to offer via email from HR Manager, send regret letters to unqualified ones.
- Prepare induction programs for new staff on their first working day
10. Training
- Receive approved training proposal from Departments
- Register and make payment requests for training programs
- Book and make payment requests for air tickets, hotel, support in visa application for training participants if required
11. To be responsible for HR Information system, staff wellness, Employer's branding, Employee's connection, staff development
- Under the instruction from HR Manager, build HR IS
- Organise staff wellness and employee's connection events
12. Cover for other members in HR team and HR Manager as requested
Under the instruction from HR Manager, cover for other members or HRM when she takes a long leave
13. Other tasks as assigned by HR Manager
