1. Event Sales Support & Client Management
• Conduct site inspections and venue presentations for prospective clients.
• Meet with clients to understand event objectives, requirements, budgets, and expectations.
• Collaborate with the Sales team to develop event proposals and customized solutions.
• Build and maintain strong relationships with corporate and social event clients.
• Provide professional consultation throughout the planning process.
2. Event Planning
• Develop event concepts, timelines, floor plans, and operational schedules.
• Prepare and manage Banquet Event Orders (BEOs), Event Orders (EOs), and event checklists.
• Coordinate event logistics, including venue setup, equipment, decoration, entertainment, and special requests.
• Ensure all event requirements are communicated accurately to operational departments.
3. Event Coordination
• Coordinate closely with Banquet, Kitchen, Front Office, Housekeeping, Engineering, Security,
Purchasing, Finance, Spa, and other related departments.
• Conduct pre-event briefings with all operational teams.
• Ensure all departments understand event schedules, responsibilities, and service standards.
• Monitor preparation progress and ensure deadlines are met.
4. Event Execution
• Supervise venue setup and ensure all arrangements meet brand standards and client expectations.
• Be present throughout the event to oversee operations and provide immediate solutions when required.
• Coordinate any last-minute changes efficiently while minimizing operational impact.
• Ensure excellent guest experience during the entire event.
5. Post-Event Follow-up
• Conduct post-event evaluations with clients and internal departments.
• Gather guest feedback and identify improvement opportunities.
• Prepare event summary reports and recommendations.
• Maintain accurate event documentation and records.
6. Event Development
• Develop creative event concepts and themed experiences.
• Recommend new event packages and banquet products to increase revenue.
• Work with Marketing to develop promotional materials and event content.
• Monitor market trends and competitors to improve event offerings.
7. Responsibilities
• Coordinate event activities across all assigned hotels within the group.
• Support hotel teams during major events, VIP functions, weddings, conferences, and corporate activities.
• Standardize event planning procedures, documentation, and service quality across the cluster.
• Assist with pre-opening event planning and operational setup when required.
• Bachelor's degree in Hospitality Management, Event Management, Tourism, Marketing, or related field.
• Minimum 3 years of experience in Event Management, Banquet Operations, Catering Sales, or Hospitality.
• Experience in luxury or upscale hotels is preferred.
• Strong project management and organizational skills.
• Excellent interpersonal, negotiation, and communication skills.
• Ability to manage multiple events simultaneously.
• Strong problem-solving and decision-making abilities.
• Good command of spoken and written English.
• Proficient in Microsoft Office applications.
