BASIC FUNCTION OF THE JOB :
This position will serve as a technical point-of-contact to assist subject matter experts across Vietnam in ensuring data integrity, on-going TMS technical support, testing, understanding and expanding our reports portfolio and auditing HR processes and data to pro-actively mitigate or eliminate risks and issues ensuring an accurate global database of record. This position also supports TMS upgrades/patches, legal changes, organizational restructuring, yearly processes and other applicable changes. Provide support to HR end users in Vietnam to investigate and resolve questions and issues with the TMS system.
DUTIES AND RESPONSIBILITIES:
1-TMS OPERATIONS (WFM-UKG) - 60%
• Be responsible for all day-to-day timekeeping administrative functions that are executed appropriately and in a timely manner along with ensuring accurate attendance records and leave data through Kronos including but not limited to customization, development, maintenance, and upgrade to applications, systems, and modules.
• Ensures the compliance with Vietnamese labour regulations, social security regulations and tax regulation on time & attendance related matters.
• Ensures time keeping processes and procedures are flawlessly administered, new processes and policies adequately documented and communicated.
• Be responsible for all day-to-day HR Database functions that are executed appropriately and in a timely manner along with ensuring accurate employee records through Oracle including but not limited to customization, development, maintenance, and upgrade to applications, systems, and modules.
• Provides technical support, troubleshooting, and guidance to TMS users.
• Serves as lead representative and liaison between HR, information services, internal/external vendors, and other stakeholders for TMS design and implementation projects.
• Collaborates with stakeholders to identify system improvements and enhancements; recommends and implements solutions.
• Provides operational and technical support for payroll processing to ensure the payroll processing is completed on time.
2-HR DATA AND REPORTING & Outsourced Workforce Administration - 25%
• Develops data analytics and complex data reporting, summaries for
business leaders and HR team in a timely, accurate and efficient manner
• Drives automation and simplification such as automated queries, filters, macros, and reports.
• Creates and maintains detailed technical documentation to support design and ongoing maintenance of integrations
• Ensures the efficiency of employee data documentation/profiles both online and hard copies and ensures the data is maintained and updated
• Manage day-to-day administration for outsourced employees.
• Coordinate onboarding, employee changes, transfers, and offboarding with vendors.
• Maintain accurate employee records and workforce data.
• Respond to employee and business inquiries related to outsourced workforce processes.
• Ensure workforce-related transactions
3-OTHERS, Reporting & Process Improvement - 15%
• Supports special projects as required
• Performs tasks assigned by supervisors
• Recommends solutions for continuous improvement and cost reduction
• Prepare regular reports on outsourced workforce headcount, attendance, costs, and vendor performance.
• Monitor workforce data and identify discrepancies or trends requiring attention.
• Support process improvement, standardization, and automation initiatives.
• Maintain process documentation and work instructions.
