Mô tả công việc
Job brief:
We are looking for a responsible Supervisor to oversee the workflow in team at our International Supply Chain Management dept (ISCM). The role is a complex operation management one which will not just supervise the work of CSV team but also make sure sufficient resource in team for daily work and process innovation.
The ideal candidate will be a competent individual who will be able to guide and train employees. He / She will be well-versed in processes under the role's responsibility and will be results-driven and focused. Ideal candidate should have good interpersonal skills and be able to work under pressure. He/she should have hand-on experience in supply chain management including PO management, vendor management, carrier management, cargo consolidation in CFS warehouse, Documentation.
The goal is to ensure that operations are carried out productively to ensure company service level and sustainable growth for team.
Job accountabilities:
1. Be in charge a Document team of 4-6 members who will handling document, system updates as per customers 'SOP and company guideline. (Please find general handling process of CSV below)
2. Manage team daily operation to ensure team comply with customer's SOP, company process, fulfill KPI and deadlines SI/AMS/ISF/VGM submission, Post-advice, DTL/Document pouch.
3. Monitor employee productivity and quality including data quality, system timeline, customers feedback timeline.
4. Implement new assigned customer including vendor workshop, vendor training on process/vendor podium systems (online or offline)
5. Provide timely feedback upon requests from customers, CCP/account owner, Head-quarter corporate team in a constructive and professional manner.
6. Collaborate with AR-AP team to complete the information capturing in ICS systems before month-end closing.
7. Provide training to team and new staff on daily task, systems, local and global process.
8. Handle other tasks and project assigned by ISCMS Manager
General handling process of ISCMS team
- Pre-shipment
• Coordinate with vendor and customer in receiving bookings via email (manual booking) or vendor podium system (e-booking)
• Check PO details in ICS and acknowledge shipping order (SO) in ICS within 24hours
• Prepare loading plan (both CY and CFS) as per Standard operation procedure (SOP) and update shipping plan in ICS systems - sending Pre-advice to consignee and get their approval.
• Place booking with consignee's nominated carrier (Ocean/Air) as per consignee allocation/MQC, manage the volume % shared between carriers as per consignee's instructions /allocation. Update carrier booking (CBK) in system timely for CBK status visibility.
• Release bookings to vendors as per approved shipping plan
• Receive shipping instruction from vendors and submit shipping instruction to carrier, prepare FCR/ Bill of lading
• Solve any arising issues related to shipments. Daily reports on space and equipment status to customer if requested.
- Post-shipment
• Receive and check documents submitted by vendors through email/system before sending to consignee or uploading in system
• Send Post advice to customer after cargo on board, follow up with carrier and keep customers updated if any changes on the sailing schedule/ETD/ETA.
• Co-ordinate with vendor and carrier to get BL (Original, SWB, surrendered BL)
• Co-ordinate with AR-AP team to clear vendors' outstanding invoices > 14days and escalate to customers if needed.
• Record and manage performance of vendors and carrier; update reports as requested by customers and supervisors
• Handle daily correspondence (emails/phone calls) from shippers and consignees, solve arising problems after shipment on board, escalate issues to consignee when needed.
- Arrange vendor workshop; Offer vendor training on vendor podium (directly or virtually)

Qualifications
1. Bachelor's Degree holder
2. Good command of written / spoken English; Chinese is an advantage
3. Proficiency in computer literate, such as Excel, Word, Outlook and PowerPoint.
4. Good communication skill, customer focused, achievement driven, teamwork and able to work under pressure.
5. 3-5 years experienced in same position in Supply Chain Management of 3PL/logistics company
