As
a People Services - Employee Life Cycle Trainee, your primary responsibility is
to provide support in various administrative tasks related to ELC operations
within the organization. You will assist in document filing and tracking of
employee profiles, support the office relocation project, and ensure efficient
document mailing to employees. This role requires attention to detail,
organizational skills, and the ability to work collaboratively with the People
Services team.
I. KEY RESPONSIBILITIES:
Document
Filing and Tracking:
Assist
in organizing and maintaining employee profiles, such as resumes,
contracts, and other People Services paperwork.
Ensure
accurate and up-to-date filing systems, both physical and electronic, to
facilitate easy retrieval of information.
Collaborate
with the People Services team to assemble, organize employee profiles for
record-keeping purposes.
Ensure
that all employee profiles are properly labeled, secured, and stored
according to established procedures.
Maintain
confidentiality and handle sensitive employee information with
discretion.
Office
Relocation Project Support:
Collaborate
with the People Services team and other stakeholders to support the
smooth execution of the office relocation project.
Assist
in coordinating logistics, such as preparing employee move schedules,
updating contact lists, and communicating relocation details.
Help
with the physical relocation of PPLS-related files, ensuring their safe
and organized transfer to the new location.
Document
Mailing to Employees:
Support
the People Services ELC team in mailing important documents to employees.
Prepare
mailings, including printing, sorting, labeling, and filing documents for
distribution.
Maintain
accurate mailing records and ensure timely delivery of documents.
General
Administrative Support:
Provide
general administrative assistance to the People Services team, such as
data entry, scheduling meetings and responding to user inquiries.
Contribute
to process improvement initiatives by identifying areas for optimization
and suggesting practical solutions.
II. CONTACT WITH OTHERS:

P&C and Payroll
members.
Cross-function stakeholders.
Company's employees.
2. External:
Mobility vendor.
About you
1. EDUCATION BACKGROUND:
3rd-4th
year student pursuing Bachelor's degree in HR or related field.
2. SKILLS AND COMPETENCIES:
Strong
organizational and time management skills with the ability to prioritize tasks
effectively.
Attention
to detail and accuracy in handling documents and data.
Proficient
computer skills, including MS Office (Word, Excel, PowerPoint).
Excellent
verbal and written communication skills.
Ability to
maintain confidentiality and handle sensitive information appropriately.
Strong
interpersonal skills and the ability to work effectively in a team environment.
Proactive
and self-motivated with a willingness to learn and take on new responsibilities.
